Why Great Revit Tools Fail: The Real Challenge Is Adoption, Not Technology!

When walking into almost any AEC firm and you'll hear a familiar conversation: "We bought the software. We provided training. So why isn't anyone using it?" After nearly two decades in the MEP industry, I've learned that successful technology adoption has very little to do with the software itself. That might sound surprising coming from someone whose current job is helping firms implement technology solutions, but it's true.

 

Most software doesn't fail because it lacks features. It fails because organizations underestimate what it takes to change habits.

 

The Technology Trap:

When teams identify a workflow problem, the solution often seems straightforward:

1. Buy a new tool.
2. Provide training.
3. Expect results.

Unfortunately, that's where many implementations start to struggle. The assumption is that if a tool can save time, people will naturally start using it, but in reality, even the most powerful technology has to compete with something incredibly difficult to change: the already established workflows.

People are busy. Deadlines are tight. Project teams naturally fall back on the methods they know best, even when better options exist.

The result? A company invests in technology designed to improve productivity, while users continue working the same way they always have.

 

The Real Barriers to Adoption:

Over the years, I've seen the same challenges appear again and again...

 

1. No Clear Ownership

When everyone is responsible for adoption, then no-one is responsible for adoption.

Successful implementations almost always have a champion, someone who understands both the technology and the team's day-to-day challenges. They answer questions, encourage best practices, and help bridge the gap between training and real-world application.

 

2. Training Without Follow-Up

Training is often treated as the finish line, when in reality, it's the starting line. Users typically leave training excited about what they learned, but within a few weeks many return to familiar habits unless there is ongoing reinforcement, coaching, and support.

The most successful teams create opportunities for users to continue learning long after the initial training session ends.

 

3. Solving the Wrong Problem

Sometimes organizations focus on features instead of outcomes. Users don't care about a new button, they care about reducing repetitive work, eliminating frustration, avoiding rework, and delivering projects more efficiently. Adoption improves dramatically when technology is introduced as a solution to a specific workflow challenge rather than simply a collection of features.

 

4. One Power User Is Not Adoption

Every organization has that person. The expert. Their go-to resource. The individual who knows every shortcut, workaround, and best practice. The mythical "Unicorn" BIM user, they do exist. While these individuals are incredibly valuable, true adoption occurs when knowledge spreads beyond a single person and becomes part of the organization's standard workflow.

 

5. What Successful Adoption Looks Like

The organizations that achieve the greatest return on their technology investments tend to share a few common characteristics:

  • Leadership actively supports the change.
  • Internal champions promote best practices.
  • Training is continuous, not one-time.
  • Success is measured and celebrated.
  • Teams focus on workflows, not features.

Most importantly, they recognize that adoption is a process, not an event. Too often, organizations approach new technology like the hare in the classic fable, racing through implementation, checking the training box, and expecting instant results. The organizations that see lasting success take a different approach. Like the tortoise, they move forward with consistency, reinforcing new habits, supporting their teams, and understanding that meaningful adoption doesn't happen overnight. It happens one workflow, one user, and one improvement at a time.

 

Final Thoughts

Technology can absolutely improve productivity, consistency, and collaboration. But software alone doesn't create change, people do.

Throughout my career, I've seen organizations invest heavily in technology, only to discover that the real work begins after implementation. The firms that achieve the greatest success aren't necessarily the ones with the most tools. They're the ones investing in their people, supporting their workflows, and creating a culture where learning and continuous improvement are part of everyday work. It's one of the reasons we place such a strong emphasis on adoption, training, support, and ongoing engagement at Symetri. 100% agree with you. Adoption needs patience and understanding. Something I learned from coaching kids is that they are all a different level of skill and I need to adapt to allow all of them to learn and help each other to be at same level and achieve success.

This really resonates, especially the point that training is the starting line rather than the finish line. In AEC environments, project deadlines can make it very easy for teams to fall back on familiar workflows, even when a new tool could ultimately save them significant time.

I also think the point about measuring outcomes rather than features is critical. If users can clearly see that a new workflow reduces rework or makes coordination easier, they're much more likely to adopt it consistently.

The “one power user is not adoption” point is another important distinction. A successful implementation should make knowledge accessible across the team instead of creating dependence on one expert.

Ultimately, technology adoption really does seem to be more about people, communication, and ongoing support than simply purchasing the right software. The focus on  BIM Technology adoption and training is a great example of why long-term reinforcement matters.

I’ve seen that happen so many times. Even when people know there’s a better or faster way, when the pressure is on, we naturally reach for what we know.
