Collaboration and Notification Between Users

Collaboration and Notification Between Users

Currently the ECO feature can be used to notify or send emails to another user. Since the ECO feature is not designed to be a communication tool, it would be nice to have a feature to collaborate and communicate with other user. Something as simple as the messaging tool in Fusion 360 would be very beneficial.

Comments can be added to ECOs by each user. Are you looking for something different then this?

ECO is a great feature but it is designed based on what's required for the Engineering Change Order. Even though the ECO feature can be used to send email notifications or making comments, it is not a tool designated for collaboration or communications.

Based on my engineering experience working with Vault Pro and dealing with other clients as a Technical Specialist, here is what a notification/communication tool would have:

-Being able to send automatic email notifications to designated people as the workflow progresses. This would work similar to how automatic notifications are sent out in PLM 360. This could be triggered on release or as a file progresses through its workflow stages.

-When a file changes its workflow status, for example from WIP to Review, the designated person gets a notification in their Vault window that the file is now ready to be reviewed. Currently, users need to send an email or pickup the phone and let the other person know that files are waiting for him to be review or released.

-The ability to communicate and message with other Vault users. This feature will allow the Vault users to collaborate live as they are working on a project.

Thank you for your consideration. Please let me know if you need more information.

@ihayesjr I may be interpreting this wrong, but here is my take on it.  ECO notifications at state changes work well.  Comments added at other times to an ECO do stay with the ECO but the email notifications do not go out, and the comments are hard to find if you are not explicitly looking for them.  I believe what the Idea poster is looking for is something similar to what we see in SharePoint or any of the 360 products, where you can have real time discussions inside of an ECO, that stay with the ECO as part of the paper trail for reference down the road.  Almost like a "chat" feature.  I've thought this would be nice for a while, and may even have mentioned something like it in one of our Pre AU meetings.  If I'm reading what he wants correctly, this Idea has my enthusiastic support.

@ihayesjr Hi Irvin,

Last week I was onsite doing Vault Pro implementation for our client and the topic of the collaboration came up again. This is the 2nd time since I wrote this idea that a client asked me why they can't automatically notify other users when a file is moved to a different state.

Here are the details of what users are looking for:

Designers work on files when they are in the Work in Progress (WIP) state. Designers push the files from WIP to In Review. At this stage, the Senior Engineers need to review the design. The only way for the Senior Engineers to know that they need to check a design is for the designers to manually send an email to the Senior Engineer.

It would be nice if Vault would send an email to designated users when a state change happens.

Thanks!

I would like to expand on this idea a bit further.  My thought is a native vault ECO alert system.  Since the ADMS console is able to track users who are logged into the Vault Client, when someone is assigned as a reviewer/approver for an ECO, a non email based notification is shown in the Vault client for that reviewer/approver when the ECO is submitted for the next step. Should that next person not be logged in, it can either wait for that user to log back in or transfer to the next viable user that is logged in.

Generating an external document for communication can allow for that document (email) to live outside of the ECO system and be lost with what ever discussion was generated from the email if there is a lack in discipline in the documentation control. If this alert was internal, it can be used to keep any ECO notes in the Vault system and ensure a timely response/completion of the ECO step.

@KineticKnif

The Vault Client already creates a pop-up for all users logged in when the change order changes state and they have to do something with it.

ok fantastic, I guess I'll have to do some looking for those settings. Thanks!
