Apparent power for motors with hp rating

I'm an HVAC engineer and in fan and other schedules I list the nominal hp rating. Obviously this is the shaft power and not the actual apparent power and NEC (e.g table 430.250) will tell what current (and from that a VA rating) to use for the electrical load.
So I like to include both hp and VA in my schedule and to connect the unit to a panel. Now I could manually look up and enter the VA value based on the hp rating. But I wonder if that could be automated? Doing it manually is more work, and can introduce errors. a hp-rating can change during the design.
Did someone come up with a way to do that automatically and meet NEC (or other rule)? One apparent issue would be that I needed to deal with 208V and 480V and in case of smaller motors with single-phase (although unlikely, so scratch single phase).
Another question is regarding external VFD. My initial idea is to put the electrical load on the Fan/AHU family and connect that to the panel and leave the VFD a separate dumb device. then the contractor just has to figure out sizing, voltage etc. but I wonder if it would be wise, to put the device load in the VFD family and connect the VFD to the panel? For some reason I think leaving the apparent load in the device e(e.g. Fan) is better since the device could have no VFD, an internal VFD, or an ECM.
I also wonder if instead of listing a VA number, I should list the current from the table (schedule will show voltage and # of poles, so Amp can be derived from VA and vice versa). I want to do it the way a bidder or contractor would find most useful. Scheduling apparent power would be easier for me since that is the value the electrical connector uses.
