Worksets

I have a fairly sizeable model which i solely was working on it contains Basement to sixth floor plans and elements.  i now need others to work on it and have set up the worksets to suit each floor level.  

I have tried to select all theon each level and move the info to the worksets but the worksets box is always greyed out, is this because some of the walls span between floors?

Is there any way of easily moving all the items on each floor onto the relevant workset.

When u want to split your project workset per floor, you will need to literally split it...or place the elements spanning between several levels on a separate set... Example: building envelopes, vertical elements such as elevator shafts, multistory stairs...etc)

To enable worksets you need to star collaborate first

If you already setup the collaboration worksets and the worksets box is greyed out when you select objects, then you may have some annotations, dims, tags in your selection. Exclude those.

i'm only in the process of setting up the worksets, think i'll have to make one for external envelope as some of the walls and curtains walls span multiple floors. what is best practice for worksets, is there any guidance.

Basically what @RDAOU has already said.

- Go to Collaborate menu and start Collaborate

- There will be two worksets pre-created for you: workset1 and Shared Levels and Grids.  Do not rename those.

- You can use the Shared Levels and Grids workset to store the obvious.

- Think about what should and should not be seen by everyone.  If you plan to divide worksets by Levels then all elements spanning multi levels should be in a common workset, and go to each level and move elements to their Level workset (You may need to look at plan, RCP, elevation, and even 3D in order to select all of them.  Optionally, you can create a multi-category schedule and filter by Level to select all the objects belong to that Level).

- Depend on Projects, some such as myself choose Site, Shell, Core, Finishes, FFE, System, Structure, etc... instead of by Levels.

I set them up by Discipline/Trade/Work Package/(Floor or No. of floors)

Some NO(s) and tips
1. Never allow for user named sets with a mishmash of what that/those users are working on
2. Assign the ownership of "shared levels and grids" to One person who should know what he is doing and who should never relinquish it (keep it editable at all times) a one man's baby
3. You do not need to add everything to a workset unless there is really a useful reason behind it..Some elements/objects are already on one ex: families and views.
4. Do not treat worksets as an alternative to groups!!! Or a workaround links!! Many do that you shouldn't ... It is BAD
5. Always whiplash your users to relinquish the workset(s) they were working with once done or taking a break or answering wife/girlfriend call ... Even if they are going just for a smoke or coffee break.

And that's about it I guess

thanks for the replies and sorry for the late response. with 2 people working on a project is it possible or feasible to use local copies with say someone working on ground floor plan and someone one first floor without using worksets? just careful coordination of who is doing what? and then save this back to a central file? Thanks

If you have local copies it means that you have already enabled worksets in a central file. So, how can you work on local copies without worksets? Anything you model will be in a workset, either you want it or not. At least, everything will be in Workset1 or Shared levels and Grids, but what would be the benefit of doing that?

i'm maybe not being clear, is it possible to:

1 - set up worksets, no other than the 2 which are created when worksets are enabled.

2 - create local copies.

3 - one person works on 2nd floor plan (not on a related workset) - one person works on 3rd floor plan (not on related workset)

4 - sync any changes with central file - will the changes to each floor be accepted or will one overwrite the other.

More like worksharing than worksets?

Yes, what you have said is possible. 

There are 2 ways to work on worksets:

1) taking ownership of the worksets (Editable = Yes) or...

2) not taking ownership. (Editable = No).

The first option is too extreme, in my opinion, and not necessary in most cases, unless the team members cannot communicate to each other for some reason. Option 2 is enough so long as the users don't work on the same elements at the same time, which is easy to with good communication.

To change the workset of elements of different categories, go to 3D view and make sure only model categories are visible. Go to workset dialog and set yourself as the owner of all user-created worksets (Make them editable by you).

Now make a cross selection of the items you want and change the workset value from the properties panel.

Make sure you dont have pinned elements otherwise the change workset option will be grayed.

This only works when every objects has 3D geometry presentation and set to visible. For example, if a casework family was created with only plan and elevation drafting lines/regions, then it would neither be seen nor selected in a 3D view.

Revit creates workset for every view. You can see them if you open the workset dialog and check "Views". All 2D elements are placed on the workset for the opened corresponding view automatically, regardless of your current active workset.

I am not following you on how this post relates to your initial post, which is selecting objects in a 3D view using a crossing window?

Because if you do that in 2D view, you will be selecting 2D elements that are related to the workset corresponding to this view. These can't be placed on user-created worksets. Best way to place each floor on a workset is going to 3D view, rotate the cube to a side (ex: Left) and select the items. For best result, make sure to turn on only "Model categories". (Annotation, Analytical, Imported, and Links categories must be hidden)

Neither selecting the objects in 2D views or 3D views are ideal. Again, if an objects does not have any 3D geometry, only 2D symbolic lines, then you cannot see or select them in a 3D view, no matter how you rotate the view. One sure way to select all of them is via a multi-category schedule, which already mentioned earlier in this very thread.
