editing user keynote text file protocol

I am wondering what the protocol people are using when editing the user keynote text file. the problem we have run into is that two people can be in the text file at the same time therefore one of them will not be able to have their edit become relevant. so in our off ice we have been sending emails to those who are working on the project letting them know that I am getting into the text file and if someone is already init to reply to the email. we will follow that up with another email when we are done making our edits to let everyone know that I am out of the text file.

I am wondering if there is another way to prevent two or more people from making edits at the same time and only one of those edits showing up?

It depends how and who assigns work in your organization...You can use a master excel file which reads from several excel files that are trade/discipline dependant (ie: you need to categorize and subcategorize the user keynot list and assign task between team members) ... then you have less chances to have 1 file open by several people when each person is in charge of specific trades/discipline..

 

DOing that; each user will enter the data on his worksheet and the master file is updated via those simple formulas...Revit User Keynote list reads from the master file

 

there are other options using 3rd party apps but I would rather go for the above as it is free and I am more into assigning tasks to several/specific trade engineers managed by a coordinator rather than to everyone do everything
