Custom Room Tags with Linked Files

I am having an issue with using our custom roomtag with linked Revit files. I created a roomtag with floor finish, wall finish, base finish and ceiling finish parameters. Also I have the ability to manually add the finishes in the tags. After I link a Revit file into my project file, I can add the roomtags and the tag shows the room number and name, but when I select the tag to manually add the finishes, the instant parameter is not showing. I feel since the tag is tagged to a linked model, the instant parameters are no longer valid. There will be plan changes so linking this file is critical to have accurate backgrounds so I don't want to lose the finishes of the rooms even if the name and number changes. What is the best way to do this?

"but when I select the tag to manually add the finishes, the instant parameter is not showing"...the thing is, tags only read what contains in the rooms. Edit the rooms informations from the original file that was linked, or enable room bonding in the link edit type, and place new rooms. be careful to select the room itself instead of the tag:

Don't use the Rooms/Tags in the Link.  Make the Link Room-Bounding, and create/Tag Rooms in the Parent Project

Thank you for your reply. I figured editing the room information in the parent project would solve this. I will need to ask the Architect if we can add the room information and upload to BIM360. This way, when we receive the updated Architctural project, the room information should not change nor do we need to add this information everytime they upload a new version.

I guess it just comes down to where the planning of floor finishes, wall finishes, base finishes and ceiling finishes are being done. That's what it sounds like you are tasked with -- not the team that you're receiving the Link from. Sounds like that team just demarked the Rooms for their own planning purposes.

Correct. We are tasked to select interior finishes and create Room Finish Schedules. We were instructed to create roomtags that also display the finishes so they don't have to go between the schedule and enlarged plans while talking with the client.

As others have written the information a tag displays is in the element getting tagged, a room in this case. If the room elements have the necessary parameters to enter the data for finishes then the data needs to be entered in the file that the rooms are in. The tags in your hosting model can display any information the rooms have in them and that your tag has a corresponding parameter for. However your tag family will need to have shared parameters based on their project file's shared parameters.

 

If you are responsible for the finish documentation another possible way to handle it is to use Revit's Spaces. They are intended for MEP use but they also work for interior design. You can create spaces automatically and then use the Space Naming tool to match your space number and name to their room number and name automatically. Then you can assign parameters to your spaces for finishes and tag them accordingly. So the finish information you create would not live in their model or rooms at all. It would be entirely your own and you can manage it yourself without having to edit their file or ask them to fill out the finish information for you.

edit: this is the same as what @SteveKStafford suggested, i didn't read it after responding.

 

You can inherit the link's Room names and numbers automatically.

 

- Set the link to Room Bounding

- Analyze > Space > place spaces automatically

- Analyze > Space naming > Inherit

Thank you everyone. I will try using Space. Just to clarify, after I get all the room inforamtion incorporated using Space, will this information retain once we get updated links? I may have to adjust the space boundaries as required.

The corresponding space will be altered by the same boundaries that the room has. If those change then the space area calculation will too. The Space Naming tool can update names and numbers if they change in their model.
