Display an “In Review” Indicator for Files with an Active Review

Problem

When a file is under review, users need to clearly understand that the specific file version is currently part of an active review process.

For example, if Version 1 (V1) of a file has already been submitted for review and a new version (V2) is subsequently uploaded, the Files module currently makes the new version available without clearly indicating that V1 is still under review.

This can cause confusion because users may assume that V2 should be used for the ongoing review, potentially disrupting the review process and creating uncertainty about which version is the intended version under review.

Suggested Enhancement

Introduce a clearly visible “In Review” indicator within the Files module whenever a specific file version is actively under review.

The indicator should remain associated with the version currently under review, even when a newer version is uploaded.

For example:

  • V1 – In Review
  • V2 – New Version Available

The system should clearly distinguish between the version currently under review and the latest uploaded version.

Ideally, the Files module should also provide a warning or visual notification when users attempt to upload or access a newer version while an earlier version is still under review.

Business Value

  • Prevents confusion between the version under review and the latest uploaded version.
  • Protects the integrity of ongoing review workflows.
  • Reduces the risk of reviewers working against the wrong file version.
  • Improves document control and version traceability.
  • Provides users with immediate visibility of active reviews directly from the Files module.
