Review final process

Some users have expressed the need to have approval workflows without a final approval process. They would like an option to remove the final approver.

Can you elaborate on what kind of review workflow you and the team are using when this request comes up as using linear or group stage review workflows are generally set up in a way that the design and engineering team do their due diligence checks for each initial review stage with the teams Document Controller being the final approver before the review workflow is closed.

This ensures all relevant key personnel involved in the design stage can be included with the Doc Controller doing their admin checks before the file is formally issued to the construction team, or external vendors.

Would like to know if its the multi stage Workflow your referencing in your original request and if so, what workflow you’re currently using to counter the issue in question?

The request is related to workflows where reviewers are expected to provide a review status or disposition at each review step, similar to what is available in Autodesk Build Submittals.

In these scenarios, each reviewer is responsible for returning a review status (e.g., Approved, Approved as Noted, Revise and Resubmit, Rejected) as part of the review process.

For some use cases, users do not necessarily require a final approver to close the workflow. The review outcome is effectively determined by the reviewers involved in the process, and introducing a mandatory final approver can add an unnecessary step and delay the document issuance process.

If the review template used is more than a one step approval review (i.e. 2 to 5 step linear or 2 to 4 step group approval) then an approver is required as a final step by default. This is because the multi review templates (i.e. 2 to 5 step linear or 2 to 4 step group approval) are actually designed that the approval step is fixed meaning, the 2 step template is a review step and an approval step, the 3 step approval is two review steps and an approval step, the 3 step template is two review steps and an approval step and so on, (see image attached).

I think the only way you're going to resolve the issue with the users not requiring an approver after their review is complete is to use a single review template as once the file is sent by the initiator and they complete their review, the review is closed if approved.

But with a single process, we still can't have multiple approvers.

As the review templates are set up to either have no approver within the single step review workflow, or have a approver by default within the multi step review workflows, your options are limited for the proposed workflow you require for having multiple users in a group step with no approver step after the group step. I would suggest that you put this request up on the 'Forma for Construction Ideas' forum page as the development team may pick this proposal up if it gets enough likes and comments below it, and it could be included in future releases of Forma updates.
