Need to modify Part Numbering Scheme

Hello! I set up a part numbering scheme and my team started using it for projects (hundreds of model files). Now I have been directed to change the part numbering scheme.

Numbering Scheme

The scheme is XXX.YY.ZZZZ (all numerical)

XXX --> project number (manual entry)

YY --> model type (drop down pick menu)

ZZZZ --> generated sequence

This core structure of the part numbering does not need change.

The Objective

I chose to add descriptive text to the YY options for usability (much faster/easier for users to select the correct option). These descriptions (indicated with the red box) are being changed, shifted, reordered, ect.. Here is a screen shot to show what we are working with:

The Process

Step 1 (the part I need help with): Adjust numbering scheme with new descriptions.

Step 2: Renumber existing models according to new descriptions

My Questions

1. What is the best way to adjust the numbering scheme? Is there a database or excel file that i can modify?

2. If I have to create a new scheme to take its place, are there any major issues or pitfalls to be aware of?

3. Are there any suggestions for how I can improve this situation? It is very likely that we will want to add new descriptions in the future (not change the existing ones again).

Once the numbering scheme has been used, you cannot edit it. Including adding a new description.

We do not permit direct edits in the SQL database.

Yes, you can create a new scheme, but you will have to rename all files using the old scheme to the new one. Then you will need to open each assembly to ensure it is updated to reflect the new sub-component names. This could be a lot of manual work.

Let me lay out an example scenario..

With the existing scheme I have a part number 001.10.1001 checked into vault

Then create a new scheme that is almost identical (just removing the YY descriptors, see original post for context), but the overall numbering scheme structure remains the same.

Then I create a new part with the newly created scheme, 001.10.ZZZZ... will the new scheme try to assign the 001.10.1001 part number again or will it recognize that number is already used in vault and assign a different number?

Edit: Adjusted slightly

@Jesse_Glaze

To the best of my recollection (it has been a few years), the new numbering scheme will pay no attention to what numbers may have been used in any other scheme... seeing only what is defined in that scheme.

@ihayesjr Can gently correct me if I'm missing or forgetting something.

@CGBenner is correct.

Also, if you started using the old scheme, you will not be able to edit or delete it.
