Cannot download due to vault restrictions

Team,

 

For years now, a step we performed during the Vault upgrade was to log in as the Administrator and then check-out the Designs.IPJ file.

This prevented standard users from making changes to the project file.

 

This year, when upgrading to Vault Basic 2018, we performed the same check-out step, but were surprised with the message about the vault restriction when a standard user was getting a file.

All users had performed a Get action to get the latest copy of the IPJ file, but all users got the message when attempting to open a file.

 

If the Admin canceled the check-out of the Designs.IPJ file, standard users do not get the message.

 

What has changed in 2018 that does not allow the Designs.IPJ file to be checked-out?

This is not a change in 2018. I see the same behavior in 2017 as well. So from which release you are upgrading?

Hello Jerry,

 

I would say it is a normal behaviour when using shared working foolder. You can not overwrite a file that someone has checked out on same location.

We upgraded from Vault Basic 2017 this year.

 

Vault has been in use since 2008. Vault has been upgraded each year along with PDSU.

 

The practice of checking out the IPJ file by the Admin has been in use for the past four years. It was a surprise when we got the message this year.

It still works, but not if you try to get a file (.ipj) on a same location where it allready exists and is checked out by different user.

Be advised, the Vault Admin is also a standard user. The person just switches logins depending on the tasks to be performed.

 

I don't recall doing anything in particular in previous year's, but I can think of these two possible resolutions we could try:

 

  1. Admin will check-out the IPJ to a different workspace than the standard user.
  2. Install Vault Client on the server, and then have the Admin check-out the IPJ file on the server.

Would you have any other suggestions or solutions? I would certainly like to avoid having to install VBC on the server.

Hello Jerry,

 

we usually let the user that can change the project file ( person in charge of vault file management on site ) check it out. Even if he changes it by mistake, he ( or she ) just does the refresh and everything works.

 

If you want to disable that I guess the fastest way ( workaround ) would be to get/check out the .ipj with admin, log out, delete the actual .ipj file in working folder, login as standard user and do a get of ipj . Legit way would be to check it out on another computer as you wrote already.

Thanks for the confirmation. I thought I had performed those steps, but I will repeat again just to be sure.

 

Using the same defined workspace, and Inventor closed, I will:

 

  1. Launch Vault Client
  2. Log in as Admin
  3. Check-out IPJ
  4. Log out
  5. Delete IPJ from workspace
  6. Log in as standard user
  7. Get IPJ file
  8. Open a file
  9. Determine if error message persists

I will let you know the results.

I have a question. It seems you have a shared working folder and admin got the latest IPJ to that folder and checked out. So why does the standard user need to download that IPJ file again? Can’t he go that shared folder and use that IPJ directly inside Inventor? Am I missing any specific workflow here?

Hello Kumar,

 

you don't want users to change/modify project file which can happen if ipj is not read only. Yes, they can not check it in, but status in vault has a bad red icon Smiley Happy and they can potentially mess the settings up.

 

The nottification happens if you set the working folder to specific local folder and you have multiple users ( can be also same user with different login rights ) working on same computer, not only shared network working folders.

In this case, the Admin is also a designer. To prevent accidentally performing actions that only an Admin can do, the user has a different Vault login for daily design tasks.

 

The "cannot download due to vault restriction" message is an annoyance that we would like to eliminate.

Hello Jerry,

 

I guess you could use a even simpler action for admin project file reservation - just do the Check Out without actual download of the file. After that a user can do a Get and everything should work as you desire. Slipped my mind before 🙂

 

The message is by design as Vault must not be permited to overwrite a same file which has been checked out by different user if stored at same location.

We found a solution:

  1. On a computer which is not in use, install Vault Client.
  2. Log in as Admin.
  3. Check-out IPJ file.

This has eliminated the "download Vault restriction" message for other users.
