Groups disappear when a user is added

Hi,
I manage 3 groups for my private screencasts and it worked quite well. But recently a group disappears (and I don't use the delete button!!), when I add a user and save the changes.
Is this a known problem? I am now afraid to add a single user at all, because then I have to create a new group every time and add (and invite) 30-40 users!

Hello Anselm,

Are you sure you are signing-in with the correct account ? It seems that you might have created two accounts. One account own 3 Screencast Groups, and the other account, accepted invitation to be a member of another Screencast Group, and there are pending invitations for the second account that you have not accepted yet.

Please let me know which account you are signing in that should own 3 Screencast Groups.

Thanks,
Eduardo

Hello Eduardo,

yes, I have two accounts, one exclusively for the AutoCAD forum and one for teaching lessons (different roles and profiles).

I only own some groups in the Teaching account, and there groups disappeared after adding a user (last Tuesday+Wednesday). Since then I have been able to create users again.

But since yesterday I can no longer delete any users: "Error saving group changes. Please try again later."

Something wrong with the Autodesk server? Or my mistake?

Hi Anselm,

Sorry you are experiencing these issues.

Thank you for the video you shared showing the steps to reproduce this. It is helping troubleshoot this.

I noticed in the video you shared that the Screencast you were trying to manage access is the Screencast 7F37E06E-81A6-40CA-AC34-038047761324

The Screencast Author is the one with the account login credential starting with … “Lehrbeauf…”. So I am assuming you were signed as this user when you recorded the video you shared.

The groups listed for this Screencast in the Manage Access page should have been the…

“Gruppe BIWB” - 2AFADC60-D72B-4620-84F5-DCEBE73D287D

“Gruppe UIWB” - 6C7A38EE-038C-452D-A8DE-84C45E314FB1

…I am not sure yet why the Group “Gruppe BMB” - 9B0E1716-6948-411A-B642-E7C1D76BE333 was listed for this Screencast since our records indicate that the user “Lehrbeauf…” is not a member of this group, and the Screencast has not currently been granted access to this Group …

teixeie_0-1588621429316.png

… I did a test on my end and this group is not retrieved for this Screencast/User. It is quite possible what I am seeing on my records does not reflect what we had when you recorded the video you shared.

Note that in the video you sent you tried to edit the Group “Gruppe BMB” - 9B0E1716-6948-411A-B642-E7C1D76BE333

I wonder if you were removed from this Group and there was a race issue, or there is a cache issue.

A Problem I see with Group “Gruppe BMB” - 9B0E1716-6948-411A-B642-E7C1D76BE333 is that no one seems to be the owner right now. Not sure how it got to this orphan ownership state but this could be causing issues.

It is hard to troubleshoot this since we don’t have all the records of events that happened with all the groups associated with your two users, and its membership.

I am engaging the QA team to look at this and try to reproduce this issue. It is quite possible that there is a bug there. We haven’t seen anyone report this though.

For now, I suggest us to straight out the ownership of the Groups for your two users. Please let me know which Groups should your two users own…

This is what I see today…

User Login “Lehrbeauf..”

Own these two Groups….

“Gruppe UIWB” - 6C7A38EE-038C-452D-A8DE-84C45E314FB1 - This group is setup to allow only owners to grant  Screencast access

“Gruppe BIWB” - 2AFADC60-D72B-4620-84F5-DCEBE73D287D - This group is setup to allow only owners to grant  Screencast access

User Login “anselm.kunz@...

Is member of Group…

“Gruppe BIWB” - 21A2E8B6-9866-4823-AFC0-DC035E4AFF14 where he is not the owner. This group is setup to allow only owners to grant Screencast access.

Has been invited, and not accepted yet, invitations for these groups…

“Test Gruppe” 654A89E8-876D-444A-A777-2DEA445A3314

“Gruppe UIWB” - AD29C9FF-DAB6-4C28-BEE8-53BB6B137295

“Gruppe UIWB” - 6C7A38EE-038C-452D-A8DE-84C45E314FB1

“Gruppe BMB” - 9B0E1716-6948-411A-B642-E7C1D76BE333

… Please let me know if the ownership above is correct and/or if you need to have the unaccepted Group invitations set to accepted.

One thing I would also suggest for now is to make sure you sign-out and close your browser before signing in as a different user. I wonder if there is a cache issue somewhere.

We will try to reproduce these issues on our end and let you know what we found out.

Regards,
Eduardo

Thanks for the detailed answer, I try that too.
First of all:

I think my account "anselm.kunz@..." only creates confusion, so we should forget about it (except for the point below - "cache issue").
I assigned it to all groups as a member for test purposes only, I did not confirm/accept it (myself).
Also the group UIWB is not necessary - I deleted it.

So, the only two groups I need right now are BIWB and BMB in my Account "Lehrbeauf..." as the owner.
Everything else is unimportant.
BMB disappeared today while I was making the screencast.
The same thing happened with BIWB - I then created it again (Tuesday)
The same thing happened with BMB - I then created it again (Wednesday)

In the screencast at 0:17 you can see, that "Lehrbeauf..." is (was) the owner of this group.

The cache problem could actually be, I think I was signed in once with both accounts at the same time (Chrome browser)

Maybe the attached screenshot is helpful, which one of my students took, see attachment.
That was to the point after the BIWB group disappeared (Tuesday) and I created it again.
Then he was suddenly a member of two groups!

Thank you so far

It is possible the student was member of two Groups of the same name. I see 3 Groups with the 'Gruppe BIWB' name. Two of them has no Owner. The student that was member of the two Groups with the same name was probably a member of one of the Groups that disappeared, and member of the Group you recreated. I think the group disappears because of a failure to Save the changes to the Group. Somehow the Group loses the Ownership and this cause the original owner to not be able to see the Group again. There is something on the membership of the Groups that might be causing the failure. I will try to debug this.

Meanwhile I have added you as the owner of the BMB Group.

Hi Anselm,

We detected a problem with a recent build we deployed a few days ago that prevents Group Owners from removing Group members. We are working on a fix and will deploy a new build with a fix soon. This bug should not have caused you to lose the Ownership of the Group though. We are still investigating this and we think we are able to reproduce this right now when we are adding members to a Group that has lots of members. We will fix this soon and let you know.

Thank you for your patience,

Eduardo

Hello Anselm,

We have deployed a new build to Production that should take care of the issues you have reported. We think it is safe to manage your Groups now. Please let me know if you face any other problem.

Sorry for the inconvenience this has caused, and thank you very much for reporting this, and for using Screencast.

Our QA team has incorporated detailed testcases for these two issues to our regression test suite that we run on every build and hopefully this should not happen again.

We hope Screencast is being useful on these “Shelter in Place” hard times.

Best Regards,

Eduardo

Many, many thanks to you and the whole team so far.

But I do not call this inconvenience, but constructive troubleshooting.
Wow what a reaction time and wow what a super fast fix!!
I report immediately if there are any other abnormalities.
I still have half a semester to go ...

Best regards too

Anselm
