Key Schedule with Horizontal Group

Our office is working on a outside Revit model that has a hardware key schedule where each hardware set has a header in a row and each component in rows below with data inputs for a number of columns. I've attached a screenshot of the schedule layout.

Every time we attempt to input a new data row, they are automatically input at the top of the schedule and we can't figure out how to control which hardware set the new row needs to go into. We are able to input data manually into each cell and delete rows, but we cannot figure out how to input the new row into the correct location.

Looking for any advice on how this schedule was initially created to help populate the schedule.

What are the settings in Sorting/Grouping and are any columns hidden in the view?

Hi Steve,

Sorting and Grouping is attached, along with a version of the schedule with Hidden items unchecked. There was one hidden column with a numbering system for the different groups. I attempted to add a row and input 3.2 to add to Hardware Set 3 but it stayed at the top in the uncategorized section.

Thanks for taking a look.

To insert a new row in a desired location (sorting group), edit an existing row in the same 'sorting group' and change it to the original value immediately, then add a New row.  Revit remembers the last edited value and append the next value to the new row, which will put it in the same 'sorting group'.

For example, if you want to add a New row for hardware 2.11, then change 2.10 to 2.11, accept, then change it back to 2.10, then add a New row.

Hi Toan,

We attempted this and could not get it to insert a new row in one of the hardware group locations, it would only input a new data row at the top of the schedule. Example, we changed the existing 3.1 to 3.2, hit enter, changed it back to 3.1, hit enter, then added a data row and it placed it at the top. We also tried a couple other variants such as not pressing enter the second time, or selecting row 3.1 after hitting enter a second time with the same result.

Thanks for the idea, just didn't work in this case.

Sorry.  The method only works for sheet place holder index schedule.  My bad.

Thanks for the update. Yeah, we haven't been able to figure out how the original designer created this schedule or where it's pulling some of the information such as the Hardware set titles. It's either deeper in the project parameters or wondering if it may have been created with a plugin or imported?

Can you turn on Header row, or show the Field list?

Turned on Show Headers in the attached screenshot. Wondering if this has something to do with Shared Parameters? I don't have experience using Shared Parameters and since this was someone else's Revit model, we don't have any additional files from what I can tell that might feed it information. Just trying to think of any other solutions.

Judging from your reply to @SteveKStafford you are sorting using DOOR_HDW NO. parameter which seems to be hidden

As it looks, the parameter you are sorting with is not being filled for the new data row which might be what is causing it not to sort into the list

go to the formatting tab and I hide all the parameters

We're not even sure where the Door_HDW NO parameter is controlled from, such as if we wanted to add a new hardware group. These are the major categories for the rows and you're right that's the first sorting option. Once we're able to find that, then we're not sure how we'd be able to add a row to individual DOOR_HDW NO groups.

Check the Formatting tab →

  1. Select each field in the list and uncheck the Hidden box so you can see all fields in the schedule.
  2. While you're at it, check if any fields have been renamed.
  3. If nothing works, simply:
    • Duplicate the key schedule.
    • Set the sorting to None.
    • Resort and group it in a way that is convenient for you.
