Send Transmittals to Non-Project-Member

Ability to send a transmittal of files, sheets, models to someone that is not a member of the project and possibly not even a ACC participant.  

 

Pretty simple I think.

It seems to me that this function contradicts the Permission settings of ACC. No one can access files through Transmittals if they do not have access to these files through Permission settings. I believe this is correct, as it allows transparent monitoring of file access, rather than fearing that someone from the project team will share the WIP folder with an external user.

We solve this issue by adding external users to the project and assigning them the appropriate 'Company'. Members of this company have access only to the folder where we share files for this specific company. This way, we can work within a single ACC project and do not need to create a separate project solely out of concerns about the leakage of confidential or internal information.

@postrovsky I could send a link to any file or folder in an ACC project to anyone.  Why can't we do that with a Transmittal?    A transmittal is a snapshot in time of project files; model files, pdfs, dwgs, etc..  Frequently there are stakeholders involved in a project, e.g. owner/client, that do not have ACC and thus cannot be added as a member.  Creating a Transmittal creates a link to be able to download a zip file that contains only that version of those files that you attach.  There would be no need to add them to the project.  

 

I'm not sure why anyone would ever create a separate project in order to share files with stakeholders.  If all of your stakeholders have access to ACC, that's great.  Most of our clients/owners do not.

Yes, this is a valid point. Not all clients are eager to have ACC accounts. I have just realized that public sharing is turned off for our organization, which is why we have never used it. However, considering that it is possible for file sharing, it should probably be available for Transmittals as well.

Sorry how did you guys get this to work? 
I have turned on public sharing but still getting warning that email is invalid and not member of project.

@rdowling, don't be sorry.  I went in and tried to do it again to be able to put together one or two screenshots for you and now I can't do it either...  it's like Autodesk put it out there and now has taken it away.  I'm going to put in a support ticket and see what I can find out.  @kimberly_fuhrman-jones, we may need to put this back to Gathering Support.  Thanks!

@rdowling, I found it.  It is a setting in the Transmittals tab.  Go to Transmittals, then click on the settings within Transmittals on the far right.

I am exploring if we can send a transmittal from ones ACC project to another ACC project email address.

So far, I am not seeing the email on the receiving ACC project.

@rdowling I'm curious if you've gotten that to work yet?  I have a client that claims that they are not receiving the email also.  Yet in tests of trying to do it to other non-member email addresses it seemed to work just fine.  Thanks!

@Ric_Weber No email has shown up. It doesn't look like we can send a transmittal from one ACC project to another ACC project via the ACC project email address.

@rdowling seems odd they would put on that restriction.  I'd suggest putting in a support ticket through manage.autodesk.com.  I'm going to do that in reference to my issue as well.

It would be great to have a transmittal link that can be shared with anyone similar to the files Docs > Files sharing option
