Allow adding a user(s) to MULTIPLE PROJECTS

There is a major need to be able to add a new hire to many projects in ACC.  Instead of wasting my time opening each project and manually adding a new user to 20 projects, we need a tool that will automate this process!  Seems like it would be a pretty basic feature.

 

This feature was brought up in the BIM360 forum SIX (6) years ago and was marked as Under Review 2 weeks after submission, ZERO response/feedback from Autodesk since...

Hi Adam,

Currently we are exploring this feature as part of a larger roadmap of making member management scalable, instead of having all of the one-off actions we currently have today.

 

What's your vision for this functionality?

@lance.borst I would be interested in discussing what I envision for usability through ACC admin tools. My EBA rep. should be reaching out to set something up. I am excited to hear Autodesk is giving this issue more thought!

@lance.borst , first, thank you for the update!
My vision would include some kind of interface where we can enter multiple users' emails and then a second portion of the interface where I could select all of the projects I need to invite them to. 
In the user portion of the interface, it would pull in their company and role(s) per our company account settings (like the current system does after they're invited).  There would also be toggles for the software modules (Design Collaboration, Takeoff, etc.), like how there is now when users are invited.

With how project permissions are typically setup, this should automatically get them into the projects with the proper folder permissions based on how we use roles and/or company names to allocate that (I assume that is how most companies do it too?).

The other item needed is a way to bulk-set all of these user values, so I could easily select all or a large group of users and set them all as having Takeoff, or if I wanted to set them all as Drafters, etc.

 

Similarly, in the Account Admin interface, we need similar bulk settings options for users.

The old Buzzsaw permissions matrix was perfect.

Also, please include an option to disable invite notifications- we have north of 1600

projects on our BIM site and a new user will receive 1600 invite emails when added to all projects

@lance.borst , having the ability to turn off the emails for invite notifications like @bpettus mentions above would be very beneficial too.  Thanks!

There needs to be an ability to create user groups, then you could assign a group to every project. Which would then make it so every newly added user, once added to the group (which is assigned to every project) will automatically be able to view every project within the company.

 

This is just one solution to the issue of needing to be able to add new users to every project without having to edit each project individually.

@lance.borst i think creating Groups is a good option but it might create the unnecessary need of creating multiple groups to give access to people in different positions to access different projects. Not everyone should have access to every/all information on the project similarly not everyone has access to every/all projects.

@maliBNX8S Fair point. If one had an option to have multiple groups, each with different permissions, then you could easily add those to a project template and when the group is updated to add/remove users, they are then automatically added to all projects having those groups.

Keep in mind, you would also need a way to batch add these groups to multiple projects.

 

There also really needs to be a better way to add projects (as one of your 80) with desktop connector. If the total project count gets too long, it'll take forever to scroll through the list and find a specific project. 

In desktop connector, under select projects, we need:

  1. A way to sort projects by activity/create date.
  2. A way to filter/search all the available projects so you can add/remove to your list of 80 to sync on your computer.

This feature would massively help our larger companies who use ACC. New starters or members of the team need access to all projects with out having to add them on one by one.

I love ACC but they really need to streamline this process. We've hired 3 new employees in the last 2 weeks and I'm getting an email every 30 minutes asking to have them added to existing projects.

They need to give me the ability to add a user to a group and whatever projects that group has access to they automatically have access also.

And adding users from another company shouldn't require me to go to 3 different screens to add the same information. Just let me add a company to a project and show me a list of people that are members of that company and let me pick who gets added.

We currently have 45 users and around 100 projects. I can't imagine what that is like for ya'll that have hundreds of users across multiple offices.

That would be a great tool—the ability to add a user, assign the permission, role and the ability to assign them to multiple projects in a single step would streamline the process significantly.

I think that this is a crucial feature that should be added long time ago. I can't even imagine why on earth you have time to make changes like new login screen(which by the way look almost the same like old one) but don't have time to implement this. I waste so much time adding new user to each of our projects each time we hire someone new. Lots of great ideas in previous comments.
This post have a year and is almost on top of most important features that community desperately needs and nothing changes. That only shows how you care about our real needs.

Every EBA customer that I have helped implement ACC with has raised this issue. It has already been recorded in the Feature Request Jira system 

Right now, I use Naviate Cloud manager to batch edit users in projects. Helps out a lot in different situations. Have used it to add 20-40 users into 800+ projects without issues.

 @anthonyneal, Thats great that is was recorded but does it mens something more? Can you estimate how long it will take from now on. A month, half of the year, two years. Ok it shows that something is going on, that's great, but with such a critical feature, for me personally is not enough to know that something will be implemented somewhere in the future. I need to know, even more or less if it is not possible to give us exact date, when we should we expect this to be implemented.

Question about Naviate - I seem to remember testing it once - we have close to 2000 projects online and 300 users/ 75 companies- it took ages to initially load all the data.  Once in, worked ok for adding users to multiple projects, but if we are adding a new company (consultant) to Document Management of all those projects, there was no way to do that en masse -still project by project?

Tried to send you PM @bpettus, but got error messages. 

Naviate Cloud Manager has the ability to create multiple projects at one time and also perform members administration (add users to a hub, assign multiple members and their company & roles) to multiple projects at shorter amount of time as compared to ACC. Question is - what do you mean by 'adding a new company'? Do you mean to add a new company in ACC Docs, perhaps add new hub users (of this new company) and assign the Project Members (with the new company) to the new/existing projects that are on the ACC hub? If that is what you mean, Naviate Cloud Manager can reassign Project Members to the new company and assign Project Members to multiple projects at one time instead of project by project on ACC.

Interesting, I am attempting to install another trial run to revisit this but having issues - I may need to get one of my colleagues to test it.

 

If I recall, adding new users to ACC Docs projects was more convenient in Naviate (same as the old app 360 Admin Tools which has been defunct for a while) and as long as the companies existed in Docs and had prior access to said projects , they inherited access to Doc Management BUT if you were to add a new company to the system, you still had to go project by project to then add them to Doc Management.

 

Hoping I just missed a step and this could be a better solution, incidentally, what kind of $ are we talking about for Naviate?
