Our title sheets need to have contact information for various project team members. Currently we use a few dynamic blocks with visibility states for each different person. For example there might be one dynamic block for all the general contractors that we use and another block for every project manager in our office. It works well enough until we need to add someone new. If a new project manager takes over a few dozen projects, we now have to go into each project and either update that block, or just explode it and edit in the information. That's tedious and provides opportunities for mistakes/typos.

It would be nice to have a central database of contact information that the CAD user could select from. However, I wouldn't want it to automatically update. We keep archived older versions of drawings that I don't want to change at all. Is it possible to create a dynamic block that links to an external database, but only updates when a user forces a change?

Q: why not 'explode' the Fields (or blocks) once a project's DWG files are archived?

Do you use Sheetsets?

You can add data in Sheetset properties (for example Manager), add field in block attribute. Therefore when you change data in Sheetset properties for Manager - it automatically change for all sheets in Sheetset (in all blocks where you add that field).
