RFI Roles NOT WORKFLOWING PROPERLY???

Hi, up until about a week ago the RFI workflow and roles seemed to be functioning properly.  The "Creator" would submit an RFI to a "Manager" and the manager could direct the RFI to a reviewer thereby Opening it.  

 

Currently, the RFI's only come from the Creator to the Manager as Open.  The manager therefore no longer has the ability to assign it to a reviewer (such as a sub-consultant) and Open it.  The manager has to provide the response directly.  

 

This is in direct conflict with the RFI role diagram and workflow diagram on the autodesk knowledge network.  According to those, the creator can not change the status to open, only the manager can.  

 

I have tried to assign these roles to the correct individuals by both name and by company... and the results are the same.  However, when done by company, the Creator can only assign the RFI directly to the reviewer... which bypasses the Manager all together?  

 

Has BIM360 changed something within the last week or two?  Why can the creator only "Open" the RFI - not submit it - and the Manager no longer has the ability to assign to a reviewer but has to Answer directly?  Again, according to the RFI role diagram, only the Reviewer can submit the official response.  So how come the Manager now has to?   

 

Please advise.  I want to go from the "Creator" as being the Contractor company - to the "Manager" as being the Architecture company - to the "Reviewer" as being one of the Engineering company sub-consultants to the architect. 

 

The Contractor would Create the RFI, the Architect would Manage the RFI to one of the Reviewers (engineering sub consultants) and the RFI would be returned to the Manager before returning to the creator (Contractor).  

 

It used to flow like this using the default RFI workflow, but there no longer seems to be an option to "Submit"?  

 

Lastly, the RFI's used to not receive a number until they were officially open.  Now the only option seems for the Creator to officially open it and all RFI's are automatically assigned a number?  Not sure what we're doing wrong?

Hi Shae,

Seems like there are some issues with the configuration on your end.

We did release a fix last week that may affect the workflows, so let me explain.

 

Creators can only open the RFIs in Submitted status. This means, a manager needs to review it before passing it forward to the reviewer and an ID is not supported at this stage.

 

Managers, in turn, are the ones changing the RFIs to Open status. This now means that the RFI is required to have an ID and is passed forward to a reviewer for his review.

 

However, if a user is both a creator and a manager/admin, up until last week, he could have chosen whether to open the RFI in Submitted or Open status. The change we released is that in this specific scenario, the only option would be to set the RFI in Open status.

 

Judging from what you describe, it seems that if your creators are also managers or project admins and that gives them the ability to push the RFI faster and directly to the reviewer. It should be easily fixable if these users will be removed from the Manager role (assuming they are not project admins).

Thanks for the prompt and thorough reply.



Between the time I asked the question, and the time you replied, I realized
a work around is to simply change the "Assigned to" individual using the
pencil prompt on the Details screen. However, this seems less than ideal,
and it also seems that anyone (i.e. subconsultants) can alter from here?



You nailed the issue on the head with your description. Taking away project
admin privileges seems like it will force the creator to submit the RFI to
the manager for distribution.



Unfortunately, now the creator can no longer create Issues since they are no
longer project admins. What is the fix here? What is the reasoning behind
only letting project admins create issues? Please advise. Thanks.
