Docs: decrease permission levels at a sub-folder with inherited permissions

Hi,

We wish to be able to change inherited permissions of a sub-folder also to fewer permissions. Right now, inherited permissions can only be expanded in the sub-folder but not decreased. E.g: I want to share the whole project files folder with all my sub-contractors. But there is one specific sub-folder somewhere that contains confidential information (to my as owner/GC) that I don't want to share with the sub-contractors.

I am hearing that a lot from our customers and other tools are able to manage that, including Buzzsaw.

Thanks for considerations.

Gilbert

This is a great point.  I also find that it would be very useful to be able to decrease the permission level for Sub-Folders.

This will help in being able to design a much more user friendly folder structure as you would not have to design the folder structure around permissions but can design it to your business requirements.

Being a Buzzsaw Adminstrator as well, this is something that is managed better in Buzzsaw.

Thanks.

Very important, you will ever have folders destinated only for some users but not for all users.

Thanks

@joan_allen, has there been any progress on this item?

With regards to the drilling down into folder permissions: consider images 1 and 2

  • Picture 1: AEC UK BIM folder structure adapted to BIM 360 Team
  • Picture 2: BIM folder structure on  BIM 360 Docs as per AEC UK Protocol.

In both cases, providing access to the parent causes complications:

  • Picture 1: External invitees now have access to the subfolders, not just the BIM models within the BIM subfolder.
  • Picture 2: More importantly, as this is per the AEC UK Protocol, any invitee now has access to all the discipline’s models. This should be by invite only.

I agree 100% with @TerryBaylis7528.  This is very simple to manage in Buzzsaw, but difficult and time consuming to manage in BIM 360 Docs.

Any advancement or position in this  matter?

This is very important for a structuring a project.

I just stumbled upon this and this idea is exactly what we are looking for as well.  The Permission as they are currently constructed do not allow us the level of control that is needed to truly host the necessary data for the project.  Has this been advanced at all?  Anyone from the B360 team care to comment on why this would or would not get implemented?

Just keep voting people in other question one issue on this similar thins was that ADSK is working on it and the more votes we get the more attention this one gets.

March 2022, this issue is still relevant and would be very useful to remove inherited permissions from sub folders.

Alternatively, instead of coding a way to remove permissions from a subfolder, if that indeed is a challenge, adding a new permission 'block' or 'hide' might also be a way to manage it, that ways sub-sub-folders could inherit the restricted permission.

Thanks!

To be honest, do we all accept this lack of an essential feature for 5 years without any improvement?

This is how a competitive product solve by adding an option to break the inheritance.

I hope Autodesk can really look into this to develop a basic document management system rather than adding new features.

Shortly after my previous post, I have found the solution, however my comment is that the methodology is not intuitive.

The way permissions work, on the unified platform, and I believe on the legacy BIM 360, is you drill down to the lowest folder that needs outside entity permissions, and never put content that outside entities need in an upper folder.  Their necessary content must be at the lowest sub folder level.

There is a setting, "Show folder path" under advanced settings, that if on, will allow an outside entity see the sub folder you want them to see, but they cannot see the full directory or heirarchy 'above' that folder.  We set the relevant BIM and CAD folders with outside entity permissions based on ROLES to streamline it further.  Thus they cannot see the folders that are at the same level, and only actually see the folder we give access to.

It works, although it seems counter-intuitive, especially at first.

Need this... We use BIM360 and Sharepoint for Document Management and we are always decreasing permissions on Sharepoint in order to have ONE Folder with a Milestone deliver, but control who can see specific files.

We are looking to work only with BIM360... but this is a problem.

Any update?

To my knowledge, any project on BIM360 will not get user friendly permissions created.  You can tell if it is on the old (legacy) bim360 if it has this in the web address:  "b360.autodesk.com"

I strongly recommend all projects be created on Autodesk construction cloud, sometimes called autodesk Docs.  This website is distinguished by "https://acc.autodesk.com/" in the web address.

Your admin can create a project template, and then assign "ROLES" with permissions to each folder.  Then when you create a project based on this template, you can then assign a role to each new member as they are added to the project.  This saves hundreds of hours over the course of a large project.

So, in short - BIM360 is actually a legacy product/website, please use the newer acc.autodesk.com website.  Best of luck to you!

Thank you

We currently use Docs.

I’m having trouble with permission settings as well. We are using Autodesk Construction Cloud. Some folders show that permissions are inherited from the main folder, but when I check the main folder, the permissions are at a different level. What works for me is to delete the user first, then re-add them and set the required permission level. This way, the permissions will no longer be inherited and can adjust more easily but I hope there's better way to do it.
