BIM360 Docs - Updated By Field is incorrect

As Account and Project Admin I manage a variety of projects and need to track changes / when people Publish etc.

I recently had an issue where the "Updated By" field in Docs is reporting differently to Project Admin. In the image you can see:

  1. The date and time field "Last Updated" is the same while
  2. The "Updated By" field is different

These should be the same regardless of who / what or how the file was updated as this could (did) lead to confusion.

After creating a support case, I was informed that this feature is "by design", I cannot see why anyone would want to see a difference here. If a file is updated, you should be able to see who made that change. There is no other platform I know of where these would be reported differently and in my eyes, its a bug that needs fixing.

I agree with your idea.

 

The other confusion is the difference between the Last Updated and the latest Version Upload date. While these are technical different, it can be confusing to others who read Last Updated as being the file Upload date rather than the latest metadata update.

 

P.S. As another inconsistency, I see 12 hour time is used in the folder, while 24 hour time is used in the admin.

I agree with this idea, it is very confusing. The Last Updated and Updated By should be in sync and reflect changes made to the document. I a recent example, a PM sent a transmittal for documents which updated the Updated By but not the Last Updated which led to some confusion.

Our issue arose when someone moved documents.  BIM captured the time and date correctly, but not the user.  The documents then show as having been updated, but the 'updated by' column indicates an incorrect name.  When a user is logged-in and moving or uploading documents, the time/date and correct user name should be captured by BIM to correctly reflect the edits made to the Database. 

In our example, this did not happen, and the record shows documents 'updated by' an incorrect person.  

 

I do not agree with your subsequent assessment of the issue that " the "updated by" column in BIM 360 Docs is currently working as designed".  The 'updated by' column did not correctly display the person that the documents were updated by.

Does the BIM System Audit Log correctly identify the user that updated the documents? in which case the issue is likely to be an error within the reporting function (most likely due to recent upgrades), or do you have a wider Audit issue that needs resolving on your BIM system?   

When the system records 'last updated' the 'updated by' column should reflect the person the file was last updated by.  If this is incorrectly recorded on the system, how can you stand over the time and date being correctly recorded?   

The suggested manual workaround where the user updates the document and then has to update their own name kind of takes the automation out of the automated process don't you think?

I don't agree with this either :), this was Autodesk Support assesment of the issue, personally I think its dreadful coding at worst and at best a mistake, even Windows Explorer shows you something different...

I really dislike the term "how hard can this be?" its used too much and I understand some things are difficult, but Autodesk needs to get this consistent with the operating systems its users are working with.
