Hello,
Key functionality of a document management system is to have drawings that have gone through the correct Approvals before they can be used.
BIM Docs needs to have a formal Approval function. This would be similar to the RFI function. You must be able to create simple workflows, these workflows could then be saved so if you are on a Design and Build contract or a Traditional contract then you would have different workflows set up. Once drawings are uploaded onto BIM Doc they could then go through the formal process of getting Approved by all the necessary organisations. This is at a minimum what i would expect.
Advanced. As BIM Doc's is a new smart system I think we this should just not be like all the rest of the Doc Management systems but should be a clever system, I would like to have
- A running commentary at both a drawing level and a Work Package level.
- Built in checklists for each drawing, these checklists would cover a whole range of items that the that are saved in templates that can be assigned to a drawing or package of drawings.
- Multiple approvals per drawing and a visual indication on which drawings are approved or not
- Automated workflows with email notifications and a dashboard. If an organisation is not approving documents in a timely fashion then they should get an email notification, there should also be a dashboard showing status and progress of drawing and packages of drawings for approval.
- Built in Intelligence, so not being able to approve drawings for construction if the still have outstanding RFIs attached to them or automatically removing approval status if drawings are updated, etc...
