BIM 360 Docs - Add New User to Multiple Projects

BIM 360 Docs - Add New User to Multiple Projects

Hi, currently when a new person has started with a company and is required to be added to all of the projects that are in BIM 360 Docs, the Account Admin is required to open up one project, add the new user by adding their email and then having them create their account.  After that, for the user to be added to all of the other projects, the Account Admin needs to access each individual project and add that individual in, setting their Company as well as Role if necessary for each project.

This is a very time consuming process when you have 450+ active projects.  We need to be able to manage access to projects through both the project as well as through the Users Profile.

It would be a huge time saver and addition if an Account Admin were able to open a Users Profile and go to the Projects Tab and then Click an "Add to Project' button.  It would be greatly beneficial.  It could be set up so that you can define the persons Role and Company within the project in the same tab.  This would allow a new user to be set up in a matter of minutes rather than hours/days depending on the number of projects.  Right now it is very tedious and time consuming.

For Example:

Once the Add to Projects button is clicked, a list of projects could come up with a check box beside the projects that you want to add the person to.  After that you would hit Continue, were you then have a list of only the projects that you checked with the following information displayed and editable:

Bob Smith

Project Name                             Company                                                Role(s)

Project A                                    Company A                                            Project Manager

Project B                                    Company A                                            "No Role Assigned"

Project C                                    Company A                                            Project Manager

Project D                                    Company A                                            Project Manager/Document Manager

Project E                                     Company A                                            "No Role Assigned"

This would add the members to the projects giving them any permissions to folders that have permissions set up per Company or Role.  For Permissions based on an Individual, those would need to be defined within the project itself.

Please implement something like this soon, as I am the Account Admin and we currently have 450+ projects and 175+ Members as we are implementing BIM 360.  I am dreading when a new person is needed to be added to the already created projects.

Thank you.

Same here, as account admin we need an easy access to all projects to monitor their activity.

100% agree with this, we should also be able to create a new member from the 'Project Admin' page, rather than having to go up a level to the 'Account Admin' page.

Yes please, it will also be very helpfull to add multiple user to the folder permission window, so for example I can add all the editors at once.

Thanks.

it would also be helpful if you could allow users to be added into projects using company or as with BIM 360 team, allow members with certain domain name/company be able to access all projects.

our visual and render team jump between all projects. Adding them into every project can get time consuming.

thanks

Any progress on this?  We are now up to 1057 Projects.

I don't understant why something so important wasn't implemented yet. Please guys, this is a MUST have.

Hi - any update here??  This is huge.

I'm just now migrating from a previous doc management solution to BIM-360 and this was the first thing I noticed. Yes, this is very important and should be considered as it would certainly save on time and errors. Many times a CM will say "add my whole team" of 20 or so.. this becomes very painful and will consume an entire day if not more.

This is definitely a must have. At the moment the only way to access this sort of feature is to write an app utilising the "Account" level API.

Its a 'Must Have' feature...Our BIM 360 admins are wasting loads of time, adding new members to each project, one by one.

Still waiting for this.  We are now up to 2300 Projects.

I am going to be unapologetic in my comment here. This is an absolute oversight and unacceptable for a company the size and scale. I wouldn't mind so much, but this product has been in the marketplace for some time now, and has recently increased in price by almost double! Shocking!

Implementation of such a feature that enables an admin to quickly change an email address on an existing account is not difficult and would save hours (sometimes days) of work when the users have 100's of projects assigned to them and move companies - therefore being unable to access an associated email address when passwords are forgotten.

Why has this not happened yet????  How many years must Autodesk "Review" something before they realize it would be beneficial?  The amount of time wasted due to lackluster project creation/maintenance tools has caused a very real discussion about cancelling our use of this service.  Please get this fixed/implemented.

still nothing..

Just to add to my previous comment (in January 2020) I now have 2 real-life examples of why this sort of thing needs implementing and expedited quickly.

In January we had the situation where someone had moved from Company A to Company B, they were associated with over 100 projects. We needed to retain all the associations/permissions. All we really needed to do was update the user's email address and primary company and he would've been up and running in less than 2 minutes. Instead, we had to create a new account for him and reassign all projects and permissions (100+ of them). As I kicked up a fuss with Autodesk support they were able to do something in the back-end to aid us but it wasn't ideal and not everyone has that luxury.

Now, in May, we have a slightly different scenario but still related to associating someone with multiple projects. We have a new starter and we need to assign projects/permissions to them for around 80 projects for one client, who they will look after. Short of going into each project, adding the person and then the permissions, there is simply no other way to do this kind of thing en-masse. There really ought to be, in the admin side the ability to add someone new, their default permissions and which projects they can access - we can then tinker with fine settings on projects afterwards. Remember in this example they work for us, so the fine-tuning of permissions isn't critical.

Someone at Autodesk, please a) think of the admins of this system especially in companies who run 100s if not 1000s of projects at once and b) respond to this thread and give us all an update on what you are doing to resolve these issues! Things that make our life easy will make your life easy. These should be thought of way ahead of "hero features" that are designed to make people go "ooo". A good system from a good company should think of everyone who has to interact with it first and foremost before adding endless functions that while are useful, are demeaned by the lack of thought given to how you manage something as complex as this can be.

We had to develop our own solution via forge. We designed a web-browser application that connects with BIM360 and automatically invites everyone (filtered by groups) to a project. This is saving us hours but it was a hard thing to do.

This is how it works: https://www.youtube.com/watch?v=aKaywEVv9Tw

The platform is called shedmate (www.shedmate.com.au)

We have presented this solution at Autodesk University Las Vegas 2019:  https://www.autodesk.com/autodesk-university/class/Forge-and-Generative-Design-Planning-Modeling-and...
