BIM 360 Docs - Add New User to Multiple Projects

Hi, currently when a new person has started with a company and is required to be added to all of the projects that are in BIM 360 Docs, the Account Admin is required to open up one project, add the new user by adding their email and then having them create their account.  After that, for the user to be added to all of the other projects, the Account Admin needs to access each individual project and add that individual in, setting their Company as well as Role if necessary for each project.

 

This is a very time consuming process when you have 450+ active projects.  We need to be able to manage access to projects through both the project as well as through the Users Profile.

 

It would be a huge time saver and addition if an Account Admin were able to open a Users Profile and go to the Projects Tab and then Click an "Add to Project' button.  It would be greatly beneficial.  It could be set up so that you can define the persons Role and Company within the project in the same tab.  This would allow a new user to be set up in a matter of minutes rather than hours/days depending on the number of projects.  Right now it is very tedious and time consuming.

 

For Example:

 

Once the Add to Projects button is clicked, a list of projects could come up with a check box beside the projects that you want to add the person to.  After that you would hit Continue, were you then have a list of only the projects that you checked with the following information displayed and editable:

Project A                                    Company A                                            Project Manager

Project B                                    Company A                                            "No Role Assigned"

Project C                                    Company A                                            Project Manager

This would add the members to the projects giving them any permissions to folders that have permissions set up per Company or Role.  For Permissions based on an Individual, those would need to be defined within the project itself. 

 

Please implement something like this soon, as I am the Account Admin and we currently have 450+ projects and 175+ Members as we are implementing BIM 360.  I am dreading when a new person is needed to be added to the already created projects.

I know this hasn't been commented on in a while, but we could also really benefit from this. As far as I can tell, there still is no way to quickly and easily add one user to multiple open projects at once. @Anonymous @patriciakeaney is this still being looked at as a possibility?

Our team was able to solve this problem Through Shedmate. Although it is a system used to design Sheds, it has an integration with Forge that will create projects in BIM360, invite all team members and upload files automatically. It's saving hours and hours for us.

We are adding more than 15 people to each project automatically. All you have to do is to set up groups and add users to these groups. Then, just select the group in Shedmate and the magic happens.

This is a must. It should also allow us to upgrade or downgrade their permission access to project too.

I genuinely being locked into Revit (sub-par software that never works)  how many plug-ins does someone have to have to make a base software work?  This is the most pathetic piece of construction/architectural software I've used and I've been using CAD products for over 25 years.  Revit should be trashed and just start adding objects and more user-friendly 3D info to AutoCAD if you want a true BIM product - Revit is garbage.  More proof in this thread that Autodesk can't get BIM 360 to work and this is mainly for Revit.  The only reason Revit got better for 2022 was the 'open-letter' from big firms' architects.  That's INSANE - fix this garbage - or all AEC industries need to boycott Revit!!!!!

It is a basic requirement for Account Administrators to be able to add members to multiple projects.  Why is this not being addressed?  Even worse, given the lack of response, why are reasonable requests from your customer's Account Administrators being ignored?

Autodesk please recognize this problem! I am getting a bit tired of spending a work day on this each time we have a new employee who needs access across all our projects..

We regularly onboard new Users and need to manually add them to dozens of projects.

 

We can see the Member > Projects Assigned... Why is this not a standard feature to add them to multiple projects from here?

lol... from 2019 to 2022.  This still does not exist.  Really basic stuff here.

Any news on this? After a couple years still no ability to add users to multiple projects?  This has been a huge nightmare for us as we have been going through allot of staff changes recently. It is taking a ton of admin time just to allow people to work on server hosted models.

Hi Matt, Unfortunately, I have not had any response from Autodesk to my query. Like you I find this a nightmare of Admin whenever new people join our organisation. Hopefully, if enough people flag this up as an issue with Autodesk, they may eventually allocate some Developer time to sorting it out.

With all of these comments and votes, my comment here is only to keep this idea active. Please Autodesk implement this and help users save time. This should have been a basic feature and implemented from day one!

@Margaret.diasI opened a case with Autodesk today and their answers were:

1. There is no automated way to do this. In ACC, you can copy MULTIPLE email addresses (from word or excel) and paste them into each project, but BIM360 must be done one-at-a-time!

2. To come here and post an idea!

I thought this might be a good opportunity for me to dive into the Forge/ACC API to see if I could put together an app that might address the issue. Unfortunately, as of today (Version 1 of the ACC API - 4/25/2022) I do not see any hooks for assigning a User to Multiple Projects (or even a single project, for that matter).

 

My guess is Autodesk is facing some significant technical challenges on the back end in regards to this feature. Wish I had better news to share with you all. Let's keep our eyes on it and see if anything changes when they publish version 2.0 of the API.

Long time Buzzsaw user - migrated to BIM 360 - struggled with this for years. Try this

 

360 Admin Tools accessible through your BIM site / Apps

 

Allows individual user to be added to multiple projects.  Process of adding still takes a few minutes but Admin does not have to access each project individually - can be done en masse.

Thanks, @bpettus Zorro! I have actually been using the 360 Admin Tools for a while now - it's really great and I HIGHLY recommend it to anyone else! The only problem I have, is it only let's me add many new users to a project. What I really need to do is add (1) new user to MANY projects. For example, a new user joins my company, and I need to add them to all 100+ projects. That's a real PITA right now!

 

Do you know if there is a similar tool or function that can do this? Thanks!

I think we are able to do just what you describe using 360 Admin Tools- a single new user to multiple projects.  We have about 1300 projects online and team members come and go.  Let me confirm and provide a process tutorial.
