Confusion when it comes to Open and Get functionality in vault basic versus Pro

I hope to make this issue clear to other users of Vault so they can avoid confusion in the future. So it turns out the “Open” and “Get” options in the “Where Used” tab are closely tied with the Release features associated with Vault Professional. However, if the lack of a “Open” feature for the newest file versions in Vault Basic is intentional then figuring this out is asking a lot of the users. Users are expected to know that since Vault Professional has a set of Release features which are closely tied to the “Open” feature of the “Where Used” tab and that since these features are not present in Vault Basic it means the simple “Open” command does NOT download the latest files and that this should just be known. No warnings are given to the user that they are downloading old files and the missing “Non-Released Bias” option isn’t greyed out but rather it is missing entirely.

 

Proposals:

A simple “Are you sure you want to download older versions of related files?” would avoid confusion.

(If this was unintentional) Then please make it the default to open the newest versions when using the Vault Basic Where Used tab as it is anywhere else in Vault.

 

This is confusing to all of our users because they obviously expect to be opening the latest versions and it leads to checking in old versions because there is not any warnings shown indicating older files are being downloaded.

 

We’ve found out that the confusion on this issue lies with a lack of a feature titled “Non-Released Biased” which opens the latest versions of all related files, just like opening the file from the main Vault browser would allow. However, opening from the Where Used tab proceeds to open older, incorrect versions of files with no option to retrieve the newest versions. The only way to open the latest versions is not from the Where Used area but you must select “Go To Folder”, which takes you away from the Where Used tab.
