Vault purge "exclude versions where comment contains" -usage ?

Hello!

I am using Vault Professional 2019, build 24.1.42.0 (2019.1.1 Update), and i cant seem to get the "exclude versions where comment contains" - purge option to work.vaultFileVersions.png

So

So in the above picture i have made a test pdf to vault, which has 3 versions all in the workflow state "TYÖN ALLA", which is a "non-released" -state. As you can see i have commented the version 2 with the string "KEEP THIS VERSION" plus other comments after that.

Then like shown in the above picture i will do a file purge from Vault ADMS, and selecting the option "Exclude versions where comment contains", with the same string "KEEP THIS VERSION". Then the Vault will purge the files and i end up with this:vaultAfterPurge.png

And as you can see from the above picture, the version that i wanted to keep, was indeed purged, any idea how i am supposed to be using the option "Exclude versions where comment contains" - in vault file purge?

Thanks!

Quick question...  Does this PDF have a life-cycle or category assigned to it?  I am going to see if I can set up your environment and reproduce your issue.

Thanks,

Jim

I tried this in 2019.1.1 and am not seeing the issue.  You mentioned that this file is a non-released state.  Is it possible to get picture around the following but for your situation:

My test pdf has a lifecycle and a category assignment, here is the screenshot from that particular lifecycle state where the file was during that test.

Since you assigned the Item to a Life-cycle, the life-cycle purge rules will be what purge executes.  We do not mix and match the different purge rules.  So, since your image has "do not purge first and last", those will be the two versions that are kept.  This why your "KEEP VERSION" was purged since that version was not first nor last.

Thanks,

Jim

Ok, thats a bit misleading as the purge is done with switch "Purge versions not controlled by Lifecycles", which i thought would  work with the purge rules given in that option. And if the option "Purge versions not controlled by lifecycles" -was not selected, it would then perform purge based on the lifecycle rules.

Of course it would be also logical if the option  "Purge versions not controlled by lifecycles", would leave all the files that are controlled by lifecycles alone, but it seems to purge those aswell.

See attached image of purging from ADMS.

I tried purging again with a test pdf file that was removed from lifecycle control. See image below is the before purge state.

Then i initiated the purge command as before from the ADMS, this is what server logs captured:

20.12.2018 8.04.53 Begin executing event Autodesk.Filestore.Purge on vault 'my vault' at 20.12.2018 8.04.53
20.12.2018 8.04.53 Purge properties: Starting at ID: Keep Count: 1, Min Age: 180, Comment: KEEP THIS VERSION
20.12.2018 8.04.56 Purge Summary: Processed Entities 422 Purged Entities: 70
20.12.2018 8.04.56 End executing event Autodesk.Filestore.Purge on vault 'my vault' at 20.12.2018 8.04.56

And here is the end result, it again purged the "KEEP THIS VERSION" -comment containing pdf, even if it was not controlled by lifecycle anymore. (versions 5,6 removed)test_pdf_purge_after.png

Ok, thanks!

I hoping that either of these links will help you.  The first one gives kind of an overview on how purge works:

Knowledge Vault Article

The other is from the 2018 help but should apply to your situation as well:

Vault 2018 Help Topic on Purge

I know the help article is redundant but maybe it might help you in other ways as well.

Thanks

Jim
