Cannot check files into vault (checkin grayed out)

We have a cient who has a strange problem. He can check files out of the vault, add new files to the vault, but cannot check in files that have been checked out. 

 

When attempting to check files in, the checkin function is grayed out.

 

So I ran a quick test: created a new part file. Saved it to local drive. Note this: Added the file to the vault (checked it in & deleted working copies). So apparently the checkin function works for new additions.

 

Checked the same file back out, made a small mod, re-saved to local drive & attempted to check file back in. Result: Grayed-out checkin function.

 

All files are in WIP state (Vault Workgroup). User signed in as same person in both Vault client and Inventor.

 

Any ideas, anyone?

What's the workflow for checking out files? It sounds like a permissions issue to me.

 

If you're checking out through Vault and cannot check back in using Inventor - triple check that the user names and machine descriptions match. I get that all of the time when I am logged into Vault as the Admin, and do work as an engineer signed into Inventor and forget to match the accounts. 

 

Also double check the permissions on the account(s) to verify they line up with modifying files.

That's really bizarre.

 

I personally don't think it sounds like a permissions issue IMO, usually in my experience those issues are encountered during the checkin process... e.g. trying to check into a folder with deny modify rights, it'll try and check it in then Vault return an error.  Off the top of my head you can log into Inventor as a Document Consumer and it'll let you attempt to check something in, but then block it after the transaction is attempted when it does the permissions check.

 

If nothing that the other guys above suggested works, and you're 100% sure the logins are not different (it really does sound like that on face value), I'd do the following:

 

1. Add/Remove Programs > Change Vault Client, remove the CAD plugins, then put it back on.

2. Delete the local IPJ, get a new copy from Vault.

3. Login to both Inventor and Vault as the Administrator account, see if that works OK.

 

If it still doesn't work, see if you can narrow it down to a certain user or PC, or folder within Vault, try different combos of check outs from different folders using different users on different PCs.

Thanks for the extra info. We can change everything but the Vault server (it's controlled at a corporate site), so I will definitely try this stuff, too.

Oh, corporate site, does that mean this is a replicated Vault environment?

If so, then you have the added bonus worry of folder ownership to contend with and look into.  Although still, I'm pretty convinced if you try to check into a folder not owned by your site it still at least attempts the check-in.

But OK try the other stuff and report back Smiley Wink

No worries - not replicated, just long distance to actual filestore...

What really bothers me about this whole thing is that we could add (check in) a new file without incident...

Who set up all the lifecycle definitions & categories etc? Was that someone up at the main site?

If you can't get it working, and you don't have a reseller that you can bounce this to, could you do a screen print or even better a screen video showing the actual greyed out button in context with the rest of the CAD program.  Might be able to spot something else from the overall picture.

I am the reseller (grin), and yes, the person who set up the lifecycle def's is @ the corporate site - don't know who (yet).

I am going to get back on a WebEx with the customer soon & will look into many of these suggestions.

Hopefully, one of them will fix the problem...

Ah OK no probs, I now see your problem, trying to fix a problem on a Vault you didn't have any input into setting up!  Nightmare Robot Frustrated

Which versions of Vault and Inventor is the user working on?

 

Does this happen on 1 computer? on all? with one (specific) Vault user account? with all?

 

And, most of all, how is your file checked out (or rather: where from...)?

Is it checked out from the Vault client or from within Inventor?

 

When you have such a file checked out, and you cannot chack in, how does the "Vault explorer in Inventor" look like?

I actually did not see that it had already beed asked which versions were involved (but this question has not been answered while MarshallW posted something after ChrisB asked the question).

I've seen that twice happen twice:

  • When I checked out the file from inside vault as user A, but have logged on the inventor vault add-on as user B, and
  • When I had user the wrong project file on inventor

I just had the exact same thing happen to me, exactly the same symptoms, I checked the file out from Vault Explorer -> opened the file in CAD logged in as the same user, now check-in is disabled/greyed out.

 

I know what the issue is with my setup, I hadn't finished setting it up right.  Basically I didn't have the local workspace set correctly in the Vault Client.

 

Checking out from Vault Client sent the files & checkout to "C:\Users\Neil\Documents\Vault\Workspace\Drawings"

But I had the file open in CAD from the folder "C:\$WorkingFolder\Workspace\Drawings"

 

The Vault Client is sending the check-out to a different folder than the CAD application is opening them from.  This can easily happen in an environment where the local workspace isn't enforced by admin.  I just hadn't done that part yet as it's a test system I hadn't finished setting up, noticed this happen, then remembered this was something you'd previously brought up.  It's a confusing situation to be in, and I guess nobody within the Vault team has designed a status symbol for this scenario.  So from within CAD it all looks legit until you try and check in, which it then can't do.

Not yet.

 

The only thing I could find along those lines was that the user has Windows-redirected his working folder from drive C: to drive 😧 in order to maintain compatibility with other Vault users who are actually using drive C:. This particular user's drive C: is a small, solid-state drive that does not have ample room for a full-blown Inventor workspace, so the workspace has been redirected to drive D:. Vault still thinks it's reading/writing to drive C:, but something may have gone wrong with the redirection to cause the problem, although it had been working fine for several years.

 

As far as the Vault root folder & the Inventor project root folder go, they are the same (except for the redirection).

Champion.  I reckon that'll be it, even more so now that you mention there's some funky redirection going on.  If the Vault Client is checking out to C:\ but then there's an OS level redirect pushing them to D:\, then the user opens from D:\, the files aren't opened from the same location as they were checked out to.  That'll cause the checkin option to grey out.  As verification, if the user does 'Open From Vault' from CAD, chances are it'll let him check-in and out without issue.

 

Side note: I've done a few installs where the some of the computers had low capacity on C, but I've just been annoyingly stubborn with the IT team and insisted that they stop being ridiculously tight and get the computers up to a decent standard.  I won't let the integrity of my Vault builds be compromised because someone want's to save a few quid on a new hard drive! But that's just me, and sometimes it doesn't go down too well haha Smiley Very Happy I think you mentioned you guys didn't do this build, is it not worth approaching them and telling them their Vault isn't looking solid, if that part isn't done right the chances are a few other essential things aren't done to best practice?

I'm having this problem as well but even starting a new file and trying to check in won't work. I'm using Inventor 2018. Everything grayed out accept the Vault and Log Out buttons. We just installed 2018 today. I also did open then open from Vault and when I click the Vault icon the window goes away and nothing happens. Log in is fine and the Vault button takes me to my open Vault window but doesn't seem to recognize it on check in/out. Still searching for a solution
