File upload status notification

I'm putting together a workflow where each discipline has View + Upload permission, without Edit it means they can't delete or change the visibility of the attributes. They upload their files and select the OCR template to use.

 

The Document Controller/Manager will then review the information before it is published, the only issue is that at this stage before the information is published the only person who receives any sort of notification is the user to upload the file and they don't (nor do we want them to) have the permission to review and publish this information. The Doc Controller/Manager is only made aware of pending files by the red notification in Docs above the publish log. 

 

Is there a way we could make any action relating to file upload or the publish log automatically notify any user by email assigned as a Document Manager?

Hi Jonathan,

 

You could subscribe to the project folders where the files are uploaded to receive notifications.

Here are the instructions on how to do it:

 

Subscribe to a Folder

You can subscribe to folders to receive notifications when files are added.

  1. Select a folder and right-click Subscribe.
  2. A green checkmark indicates the notification is enabled. You can toggle the notification on and off.
When documents are uploaded or sheets are published to the folder, you'll receive email notifications.
Note: To receive notifications from subfolders, you need to subscribe to them separately.

 

To Work with Folders

 

Each user will need to subscribe to this themselves individually, and then they will receive notifications when a new document or new version of a document is uploaded. However the user will not be updated if there is a mark-up to a document.

 

If you wish to have something different, please log it in the Ideas website for future implementation.

Hi Luciane,

 

I might be missing it but I don't believe a notification is sent to subscribers when the files are uploaded to the folder, only when the files are published and made available in the folder is a notification sent. 

 

Currently if a user uploads files they are the only ones that are made aware that anything has been uploaded. Ideally we need the notification to go to the subscriber as well.

Sorry for the late reply.

You are correct, the notification won't be sent when the file is uploaded.

This functionality has been requested by other users, please access this Idea and vote it up:

 

BIM 360 DOC Notify person(s) after upload

 

The more votes it gets the better, as it is under consideration for future implementation.
