How to deal with IFC-Links in Revit projects

Maybe somebody on this forum has run into a similar problem or there is a best practice I am not aware of. Here goes:

We do the building services for a school project and get the architectural model as an IFC file from the architects office. That file is then copied to Autodesk Docs and resides in a specially made folder. Said copy is then linked - using the Link IFC tool - from the Insert ribbon. Once the file is synched the path is shown as exptected and pointing to the cloud space.

Only that file is not the file Revit links to at all but a .RVT (mind the capital letters) file that is generated freshly whenever somebody opens the hosting cloud file. The ifc model is largish (200 MB) so Revit takes a while to make its own .RVT version. While it is generated the file is locked on the cloud platform. What happens when someone else opens the same file to work on a different storey, another discipline or the same ifc file is linked to by another model? Usually the link appears to be not loaded and if you hit reload after a while, you usually end up with a fresh link version. Now it happened at least twice that the write protection to the .RVT file was not removed after the host was opened - so noone else could link to that file anymore.

We have now decided to open the ifc files we are provided off-cloud and saving them as .rvt files which we then save for collaboration on the cloud for use with our models. That is quite tedious and needs to be done whenever a new arch model is issued.
