Submittal Reviewer Groups

Currently it seems that only individuals can be assigned as a required reviewer or optional reviewer of a submittal. In reality, a review may be required from any one member of a group, but not each member of that group. For example, when a review by the structural engineer is required, that may be completed by one of a few different people within that company's project team. If ACC allowed a group to be created which contains each potential reviewer from a single consultant company, and then that group could be assigned as a required reviewer, this would streamline the review process.

 

Currently, the work-around is multiple people sharing the log-in information for one individual's account, but that creates a potentially inaccurate record of who reviewed a submittal. The other work-around is to have each individual log in and mark the submittal as "reviewed", even though only one person actually reviewed it, which also created an inaccurate record, and also can delay the review.

You can actually assign the reviews to companies and roles as well, that should solve your problem, right?

Using the "role" when assigning submittal reviewers is a workaround, but you also need to tweak the roles of project members to accommodate.  If you have a "role", call it "Engineer of Record" you would need to ensure that only project members that are involved in the submittal review process have the role of "Engineer of Record".  However, you might have many persons involved in the submittal review process yet their responsibility is only for a specific dicipline i.e. plumbing, structural, electrical.  The issue is that notifications come through for everything assigned to the "EOR" role for everyone assigned to the "EOR" role.  A workaround for this is to only list certain persons as the "EOR" and list the others as "Subcontractor" but then they don't have the ability to review the submittal.

@Rosenthal.Tomer I agree with the first comment that it would be very helpful throughout ACC if we had the option of 'Groups', as well as Role and Company.  This would enable better control on permissions on folders, assigning reviewers and more.  Is this being looked at, or do you know of another "Idea"  that covers this topic?
