Files // Version History improvements

Today, Files received a long-awaited feature to view versioned historical attribute data, called Version History.

Despite now having this feature, it still needs more work to make it far more usable.

 

Better UI Flow

The process to get to the Version History I guess is fine, but it is a pain when you then want to move between numerous files within the same folder. Each time you move to a new file you need to close the Version History, to then open it again for a different file. This is maddening when you need to review numerous files.

 

Combine the Version History with the File Activities

I genuinely hope that combining Version History with the File Activities is on the near roadmap. These should not remain as separate panels, as there is little point in showing how attributes changed without also showing who and when.

Examples:

  • Who changed an attribute change, and when. Particularly if it was changed multiple times for a single version.
  • Who viewed what version, and when.

Other version history activity examples include:

  • Transmittals
  • Reviews
  • Publish to Sheets
  • ... etc

I envisage something like opening the Version History, and then for a particular version expanding it out to show that version's complete activity log.

 

Filters and Search

The Version History panel needs Filters and Search, especially if the File Activities were rolled into it.

Example:

  • Filter all Files with a Status of Approved and where Member A viewed it.

Such an example will allow us to see that Member A actually knew about the approved files because it clearly shows that they viewed it.

Better UI Flow

Is it possible that the user has expanded the Version History panel, causing the file list to be covered? If so, the user might need to either drag to resize (shrink) the Version History panel or close and reopen it for another file. I understand the concern. Do you have any solutions in mind? Perhaps a file switcher to easily switch to the next file? Or maybe a single click on a file that changes the content in the panel without opening the viewer?

Certainly. Currently, the Version History and File Activity Log are two separate panels. Are you suggesting we merge them into one? Alternatively, should we filter out the attribute change log and incorporate it into the Version History? I understand the distinct purposes of the two panels. We've received feedback that activities need to be displayed in the Version History panel, and version numbers need to be displayed in the Activity Log. I'm trying to find the right balance. I am not sure if "having the complete activity log under each version" is going to "retire" the activity log panel. Your thoughts?

This is an interesting idea. Filter by not only the attribute value but also certain activity!

This ☝️. It also talks to a long-standing point that Files has historically been quite bad with file selection. e.g Lack of SHIFT and CTRL modifiers to multi-select files. Files' default action is to always open it in the viewer.

There needs to be less Click-to-Open, and more Click-to-Select.

 

We've received feedback that activities need to be displayed in the Version History panel, and version numbers need to be displayed in the Activity Log.

You may have also heard this from the company I work for. I don't want to say for certain that I want it all in a single panel, but that is currently my preference. If you were to demonstrate other reasons why they should remain separate, while still providing a easily accessible cross-pollination of data, then I might be open to that.

 

Whatever method is chosen, I feel my comment in my last point and example on Filters & Search should make it clear what we are after. It can't be just a dump of unstructured data that doesn't really mean anything. It needs to facilitate real-world needs that address data probity and compliance. We need to know precisely who, did what, and when.

Thanks for the ideas. We are currently working on Adding Mark-up versioning to the platform. It may not cover all of your thoughts but should capture some of these ideas in the near future.

mark-up versioning?  I'd like to see a simple comment field that could be added to a version, similar to ProjectWise, so if you edit a shared file, you can leave a comment next to the version after you save so file managers can quickly see what was done or why, without using markups, version comparison, or some other time consuming thing.
