Feature Request: Option to lock amount only or fully lock flyout on SCOs (like contracts)

Cost Management Product
In the contract settings, we can currently fully lock a flyout after integration (thereby removing the ability to change anything) -or- we can lock the amount only - see snip.  My company opts to lock the amount only, as we sometimes need to change items in the flyout after sending (i.e. the contact name for the vendor, the work scope, etc.).  This allows us the flexibility we need to work with our vendors and get contracts executed.  

This same setting is not currently available in the Change Management module for subcontract change orders (SCO) and I would like to request that it be implemented ASAP to allow for more flexibility than is currently available.  When an SCO is sent, it is frozen and we have no ability to change any aspect after integration.

Hello Christine, we do that with contracts to facilitate the schedule of values to be added later as that generally isn't required until pay apps are needed. This would be a different scenario.

Please specify:

Exactly which fields you would like to be editable

Is this only relative to SCO's which have a 'Sent' status or 'Executed' or both

Is this after it's been integrated, and if so is the integration also locking the SCO?

Answers: 

Fields we would like editable:

  1. Contact name, in case we need to re-direct the SCO.
  2. Scope of Work
  3. Documents section, in case we need to delete or add a document
  4. If I'm being picky, I'd love for the Signed By to be available in both contracts and SCOs.  Our DocuSign integration doesn't work with out a name there, and it's often missed.

Is this after it's been integrated, and if so is the integration also locking the SCO? This is after the integration.  Yes, the integration locks all fields in the SCO.

Some further questions for you based in your response

1. Why would you need to redirect the SCO after it's been executed? If the wrong person received it, it wouldn't have been signed would it?

2. The Scope of Work is intended to define the scope the SCO is legally signing up for. If it's editable you can effectively change what's been legally agreed which sounds very unethical?

3. Delete a document from a legal agreement? Or do you mean only the attachments section?

4. This sounds like the least onerous one! Are you using ACC Connect? Curious why not using the built in one?

Answer:  This function would happen after we sent the SCO, but before it's fully-executed.  For example, we send an SCO to a contact at a company, but it's the wrong contact.  Our team would like to be able to change the contact name and re-send.  Or, we need to add wording to the SOW and regenerate/re-send SCO.

Answer:  Since we are the GC, we should be able to edit the SCO description of work.  To be clear, I only want my company (the GC) editing this field.  This occurs on the contract/cost side, why not in SCOs?

Answer:  Again, as the GC, we should be able to control what is included in our contracts.  Also, sometimes, the attachment is too big to go out through our DocuSign integration, so it is a matter of deleting that attachment so we can allow the integration to work.

Answer:  We set up our DocuSign integration before it was available via the ACC app. So, yes, we use ACC Connect, but will be looking into using this directly via the app in the new year / breaking away from ACC Connect.

Side notes:

1. As the GC, we sign last.  That may alleviate some confusion.
2. Once the documents are fully executed, they should not be touched.

Yes I'm a bit confused.

I asked when these should be editable and you said  "'Sent' status or 'Executed' or both - Both" and after integration lock

But now sounds like that's maybe not the case? "Once the documents are fully executed, they should not be touched"

 

I totally agree you should be able to edit the scope, the recipient, the document etc, but not after it's been executed

And I assume the integration is triggered once executed?

So doesn't that only leave 'Sent/Approved'?

 

Maybe a call next week would be easier?

@ian_turner - we just want the same capability in subcontract change orders that we have in subcontracts with the snip I provided in the original post.  I'd be happy to chat, but it is the same thing that is already offered in another module.
