Multiple Items in Pick List with Searching Filter

I have a field that chooses from a picklist that points to a revision controlled workspace (i.e. items and BOMs). I have noticed that when an item undergoes a revision it will display in the pick list multiple times (equal to the number if revisions). It seems that I can choose any of the multiple items and get the same results (i.e. derived fields are OK) provided the derived fiels were not edited during the BOM item revision.

Hi,

 

Would it be possible to get a screenshot or get more details on your current picklist definition? I am curious to know whether the picklist options you are currently using is '[WS] Items and BOMs (All Revisions)' or '[WS] Items and BOMs (Latest Revisions)'. Depending on what is used, the search filter does not return the same results.

 

Additionally please review the item descriptor definition used in your Items and BOMs workspace as you probably want to use both title and number. This will ensure that when configuring the picklist with all revisions, it will indicate the title of the item but also its revision number.

I had "show all working revsions" selected. I should have "latest" selected. I'll need to be more careful in the furture.

 

So now my new issue is I can't change the picklist to show only the latest. I'll need to delete it it and start over. That's a bummer since that field is the oivot for several other fields.

 

Lesson learned.

I'm now using the option to "show latest" in my picklist. It doesn't exacly work for my needs. Here's why.

 

When I create a new revision controlled item its rev is w (working) as i haven't yet released it. Since it's not release it won't show in the picklist (that is set to show latest revisions). If I set my picklist to show working then I get multiple instances in the list (one for every revision). This doesn't work.

 

I think there needs to be another option to "show latest version" (either working or relesed). Without that option I don't see how I can select the initial working revision without exposign ALL revision later on in the release cycles.

If you create a brand new picklist and make it a workspace picklist that points to the Items and BOMs workspace, three options are then available under Show Revisions:

 

- All including Working Revision

- All Revisions

- Latest Revision

 

In your use case, you would pick the option 'All including Working Revision' and configure the item descriptor to include the revision number / letter to avoid duplicates in drop-list selection.

I tried this suggestion but I didn't see the rev letter/number as being an option in the item descriptor set up. Maybe I'm missing something.

Please find below screenshot of what I see when running a filter search on Items and BOMs record when picklist is set to All Revisions. Do you not see the revision value appended after the item descriptor?

My issue is that I'm not able to configure the item descriptor to include the REV value.

It is not possible to use the revision number or letter as an item descriptor. Only fields found in the Item Details page can be used as descriptors. I apologize for earlier confusion, would you mind sharing screenshot of what you see when using the search filter?

Thank you very much for the screenshot. I can now reproduce the issue after creating new picklist pointing to a revisioning workspace using the show revisions setting 'All including Working'. With this setup, the search filter returns three records for an item with two revisions and one working revision and there is no indication of the revision value to differentiate those three records.

 

I will report this as a defect to our development team... in the meantime please use either one of the two settings 'all revisions' or 'latest revision' knowing that working revision will never be available.
