A minor note that you may already be aware of:

As I understand it, the Vault Client does not understand CAD file dependencies. Only the Vault plug-ins for AutoCAD, Inventor, etc understand the file dependencies. If CAD files are checked in with the Client, Vault will not be able to fill out the "Uses" or "Where Used" tabs. I'd be very cautious of unchecking the "Enforce Restriction for Check In of Design Files".

When I am designing, I have Inventor open on one monitor and the Vault Client open on another. I use both to manage files on disk and in RAM.

During the beginnings of our implementation of Vault Pro, we've seen a situation where a user can simply drag a file out of Vault and place it on their desktop. I didn't realize this was possible, which leads me to the following questions.

If someone does this, how is it tracked by Vault (if at all)?

Do we have something set that is allowing this to occur that we need to address in the settings?

What, if any, "fun" can this create for the Admin to track or have to be mindful of?

As always community, thank you in advance for your feedback!

Vault will not know about any files outside of the Vault Working Folder.

Users may be able to put them on the desktop, but they are not checked out on the desktop.

Checking out a file will only affect the Working Folder.

For other reasons, a user can also perform a Get of the files and put them in a folder outside of the Working Folder.

If these are CAD files, turn off the ability to check CAD files in through the Vault client. Then these files have to get back into Vault using the Vault Add-in. They have to be using the file in the working folder.

Since the Client has better functionality, is there a rule that could be created where this condition would be recognized and Vault would not allow that file to be checked back in under the same file name? Or, is that something that occurs automatically? I'm just trying to understand and be able to present the best solution for our internal Vault users.

Yes, there is an administrative option to stop checkin if a file with that name already exists. Found under "tools" - "administration" - "Vault Settings" - "Files" - "Enforce Unique file names"

That is one that I'm very aware of. If that's all that's required, and nothing more, it would work the way that I'm envisioning it.

I appreciate knowing that, since there appears to be little discussion or documentation of which is best for what. Being we are neophytes in this area and just getting Vault Pro up and going, this is the type of nugget of knowledge that is critical to know. Thank you for posting that.
