Vault 2020 - users get dwfx creation error upon check in of .idw files

After upgrading to 2020 a couple of weeks ago, I am having many of my users reporting the error shown below when checking in .idw files to the vault:

The work around has been me, as admin, deleting the existing .dwfx file and then the users can check in without receiving the error.

Is there any way to stop the error from occurring and allowing the users to overwrite the .dwfx file with no issues?

Hi @TYoung_Combi thanks for reaching out vis the forums.

Which edition of Vault are you using where you are seeing these errors? Is it Basic/Workgroup/Professional?

Can you check the permissions on the DWF files in Vault to see if they may have accidentally had some permissions applied to them that would prevent users from overwriting them? Right click the files and go to their details then security tab to see what permissions might be applied.

Also please check the visualization attachment options in Vault as this error can occur if files are not having their attachments removed after certain actions. In the Vault client go to Tools -> administration -> vault settings then Visualization tab and 'define visualization attachment options.' and post what settings you are using here.

No; I have each user set to create a dwfx upon check-in

Thanks @TYoung_Combi that looks like the default options so I don't think the attachment options would cause these errors.

Did the permissions for the DWFx files show that any security was being applied to them? Are you still seeing these errors and do they occur every time the same drawing is checked in?

@upchurt If I delete the associated DWFX files, users can then check in with no issue. That has been our workaround. Just not sure what is the root cause of the issue. I appreciate the help!

@TYoung_Combi thanks for the follow up. Can you send me a screenshot of the effective access for these files and the users that are checking in the CAD files? I suspect that the files may have some permissions applied to them that is preventing the CAD users from checking them in.

Does the problem happen on every file or only some? Is there a particular workflow that causes it and can you send me a screencast of it?

@TYoung_Combi that is close, go to the effective access tab there and add the user that is trying to check in/update the DWF file to see if there is any other permissions being applied.

For anyone finding this thread and seeing the same issue we found that this error was causing by the Vault visualization attachment management settings being switched off. This caused orphaned visualization files that could not be overwritten except after they were deleted.

We were able to workaround it by sending the DWF creation jobs to the Vault Job Processor which ran using an Administrator account which in most cases could overwrite the DWF and if not would collect the errors/paths for the DWFs files to be deleted/created new.

This happens when you rename files... Vault doesn't update dwxf files
