Document / Folder Email Notification

Have the ability to create a 'routing' list for documents and/or document folders.

Maybe have the option to assign a routing list to a document or folder  'category'.  

 

Have different options for email notifications, some examples below:

 

  • New document added to folder
  • Document checked out
  • Document Workflow State Changed

Have the routing lists available for, or assigned to 'folder categories' or 'folders'.

Then we could assign this routing list, and whenever a document is changed in that folder, an email will be sent.

 

Example:

The routing could be setup, to have certain users receive emails when documents are 'released' or 'modified'.

We would like the ability to "Subscribe" to a Vault Folder. The subscription would do a workspace sync on just that folder at a specified time and frequency as set by the user. The Admin should be able to set certain folders as "Subscription enabled" or something like that in order to prevent subscribing to the entire Vault. We're asking this to help ensure our CAD designers always have the latest available models in their local workspace.

Challenge:

Users who need to work on specific folders / files need to check each time if something changed in their area of responsibility

 

Impact:

Time consuming checks at least twice a day to check on status

 

Proposal:

Have the possibility to „Subscribe“ on Files and Folders (like sharepoint „Alert Me“)

I had the ability in another PLM application to subscribe to a file. The system would then email you a notification if the file was revised  or had a pending revision. This would be a good feature to have in Vault. Users should have the ability to select a file or files to subscribe to for different types of events. Subscriptions should be able to be managed from a consolidated screen. This would allow specific users to be notified if a design, drawing, or bill of materials that may impact them is modified.
