Ability to disable versions

Every time you check in documents vault will create a version. It is not possible to promote an old version to a new version. So currently there is no practical use for versions other than checking the progress. By the end of a project 90% of the data in the vault will be useless versions. Deleting old items and other stuff also becomes difficult because of all links these versions make.

If you are not creating versions, are you asking to overwrite the existing file affectively only having 1 version of the file at all times?

Yes. As long as a file is work in progress it should be overwritten each time it is checked in into the vault until it gets a higher state in the workflow (e.g. to be checked or released). After release you have to create a new revision if you wish to change the file again.

 

As we recently found out, having versions and revisions not only creates unnecessary data, it also creates confusion. Especially with non-vault users. They think versions and revision are the same thing.

I think there are purge settings for old versions.

 

You CAN promote an old version to the latest, but it isn't as easy as it should be.  A "Make Latest" command would be helpful for iterative design.

 

In order to promote an old version, you basically check out the file, get and open the version that you want to promote... then check that version back in.  There may be tricks to getting it to work, but it does work, so your version history ISN'T useless.
