I was wondering if anyone has come up with a solution creating a pick list or group of users for selection in workspaces for the purpose of assignment or approval.

We have need to use the functionality of the approval lists but then only select one member from that sub group of users for the approvals process.

The need is that we would like to show a sub set of users (I.E. Salesman, Project Managers etc) and then show lists on the item details page to allow assignment within those groups to that workspace item for permissions & workflow approval requirements....

We have used the owner and additional owner fields to some extent but even those show the full list of users in the tenant rather than only the group that is valid for the type of assigment the field represents.

Hi Bob,

The simplest option is to create new workspace to store group name and user data (using PL Users, ALL By Name), then setup filtered pick-lists on the workspace you are currently setting up to point to the new workspace.

Note that new method has been made available in scripting that could be of some use in this use case.

Security.listUsersInGroup('GROUP_NAME')

Loads an array of user records from the user group specified by 'GROUP_NAME'.

I figured it was going to come down to something like that.

I had forgotten about the new Security scripting. That should make it possible to validate the name entries from the workspaces validate against the userID during workflow Validation scripting.
