Can't Delete Linked Items

Guys,

 

I have the delete permission set for Workflow/Linked Items but there's no red cross column:

am i doing something wrong here?

Hi Scott,

 

Delete Workflow Items is the correct permission to allow for a Delete column on the Linked Items tab.  I can confirm this by adding and removing the permission in one of my workspaces.

 

What you should look for is another role with reduced permissions that is also being applied.  If there is more than one role that applies, the one with the least amount of permissions will be implimented.

Scott - the delete command isn't available when you're in "Edit" mode - which i can see because the "Save" button is active.  Save whatever changes you have there and the delete should be available....

Well wouldn't tha make managing security/access permissions very complicated. Its like explicitly denying within Vault or Windows security, it overrides any allow permissions assigned to a user via another group role. So instead you just don't allow.

 

I would hope by not allowing permissions via 1 role then adding it via another would in fact allow the user access instead of continuing to block it. Can you check this please? I don't believe its true.

 

Cheers for clarifying which permission should be in use.

Hi Scott,

 

There should be only one role assigned for each workspace to a given user.  This was only suggested for a troubleshooting tip as you showed the correct permission being assigned to a role but the ability to delete not being present.

 

The permissions for the role work similar to Windows as if you have two permissions assigned to a user, the more restrictive permission is applied.  In PLM 360 the role that is most restrictive is implemented though you should only have one role assigned to a user for a given workspace.

Within the default tennant this isn't the case. There are Role's with only a single permission in them, so you can create variations for different groups. A good example are the [WF] roles.

 

Recreating Roles with virtually identical permissions doesn't make sense in some cases, it makes more sense to has a standalone role with those variations to drop in & out of groups.

 

Based on what I understand you are saying, the WF roles shouldn't work, because they aren't allowed in another role. But thats not the case. Can you clarify this further based on my understanding or the Autodesk created WF roles?

Scott,

 

An important thing to remember is that Roles are for workspaces and Groups are for users. This being said, yes you could create Workflow roles only. However these would not allow the user to do anything with the workspace unless other roles are attached to the group they are in. This being said you could cause more problems than solutions by now having 40 roles all dealing with one workspace (scalability issue?).

 

So with the prebuilt tenant yes we did micro split the roles but we also did it in a very logical way for users to easily distinguish what is happening and use this as a tool to learn from and adapt to their own style (isn’t that what makes PLM360 so great?). But as one advances their knowledge on the product and finds a style more there own the more one could see how having so many micro Roles could cause undesirable effects and headaches for the person creating these roles.

 

So to answer your question, this is an option of choice; you can admin PLM360 with either micro Roles, macro Roles or Both. This is a choice of the user; we just suggest macro Rules for those starting out as it makes troubleshooting an issue a little simpler and faster when we are called in to help.

cheers John. I agree with you. Coming back to the original point though, can you clarify how the permissions work, when one takes precedence over the other etc.. Since no where in PLM can you explicitly deny a permission, you can only allow them, then I don't see where you can have a conflict. Where by not allowing it in one role, but then allowing it in another will result in the user still being not allowed see have that permission.

Hi Scott,

 

I did additional testing and the Role with the most permission assigned is utilized against the workspace.

You have some advanced knowledge of PLM 360 and it sounds like you have a process to use a standalone role and move it in and out of groups. 

 

I’m in no way stating that this will not work for you.  What I will say is as we continue to increase the number of customers that are performing admin tasks, it is important that they are able to easily identify the permission for a Role that is being used for a given user within a workspace.  Having Roles clearly defined  is essential if the Role is revisited for troubleshooting by the admin or even if we at PLM 360 product support are called in to assist.

Cheers John.

 

To be honest I am struggling with deciding how to divide up the roles into groups, Up front I can't tell which groupos will be accessing the information intially & whether or not I want them to have access to all tabs or just some. 

 

What I am struggling with is how to clear the waters, so I can see a clear path on logically & clearly setting up user groups & their associated roles.

 

In a way it feels like there shoudl be a R/W & a R/O role for each tab of each workspace, then a maybe 2-3 Workflow Roles. Then they get assigned as & where necessary, making sure that you never add two roles for the same workspace & tab to the same group.

 

But as you can imagine, the Roles list would become humongous as the the tenant grows.

 

So what to do?

Like we all agree, there is no wrong or right answer to how one should set up there PLM360, It is strictly use what works best for you.
