Our director suspected some of our colleagues who have sold the confidential information to competitors but we lack proof. How can we prevent users from Printing, Taking files out of office and Capturing screen?

Thank you very much in advance for your suggestions.

Have him fire everyone and do the work himself, that way he has control of everything.  Not the answer you are looking for but you are asking for the impossible.  People need to be able to print or exchange files in this business, whether with clients, contractors or each other.  It's too bad you can't trust people these days but it is what it is.  May be you need to ask why people are doing this at your business place.  Are they being mistreated or abused and trying to get back at your company or director?  This doesn't make it right, but it happens.

You can't prevent it. If it's a serious threat to the business. I'd hire an outside consultant to install monitoring software to log all file transfers and plots. If you share your files over a network and there is no reason to copy files to external drive or CD/DVD. You can install software that prevents unauthorized users from doing this. Our IT has one installed. I don't know what It's called. You can choose one or 2 people who can burn disks to be sent to customers or consultants.

You can also put such a low size limit on email attachments that drawings can't easily be sent out. Again you will need some how handles the function when a drawing does need to be emailed.

Screen captures are of limited use. Since basic screen capture is built in to the OS it might be hard to prevent. You'd have to talk to a consultant who has a good bit of knowledge about your OS.

I have heard that Curtain e-locker provides this type of protection. You can use it to restrict function "Printing, Taking files out of office and Capturing screen" with various settings on user workstations and file servers. Users will have to save files at the same folders (Protected Zones Only). The link below is for your reference.

It's just the usual Government Bugle Snorts. After the WikiLeaks they installed it. Just more work for those of us who can burn the CDs. I have to do it instead of someone you might expect  to be doing that.
